As an Executive Assistant you will provide central co-ordination to the Global Manufacturing Operations Director, responsible for delivering a range of administrative duties in a timely and efficient manner. You will need to be proactive in your delivery and have an adaptable working style to deal with the daily challenges as they arise.

WHAT TO EXPECT

Key Accountabilities and Responsibilities


• Diary management – prioritising the Director's time and ensure they are sufficiently briefed. Scheduling/coordinating meetings, diaries, and taking care of all travel arrangements


• Attend team meetings as required, noting and following through on all actions until complete

• Responsibility for compiling all daily files and approvals in a timely and quality manner. Editing, proofing, formatting, document design/production, form filling, and data entry

• Management of Director's expenses and approval

• Provide direction to Director on priorities, to include supporting paperwork, deadlines etc with recommendations

• Manage Director's emails and tasks until complete, prioritising and delegating where necessary, flagging up immediate and urgent concerns and acting accordingly

• Receiving/relaying telephone messages from internal and external sources, managing the time/interaction executives have with internal and external sources.

• Arrange team meetings and away days as appropriate and directed to, adhering to company policy and procedures.

WHAT YOU'LL NEED

Knowledge, Skills and Experience


• Excellent communication skills – both written and spoken

• Agile and flexible approach to change – adapting last minute business priorities

• Strong ability to organise Director's tasks, to ensure objectives are met, making recommendations where appropriate

• Strong project management capabilities with excellent execution skills and the ability to multitask

• Highly organised with meticulous attention to detail

• Ability to react quickly and efficiently to last minute requests, understanding wider implications for the business.
