Hybrid role

  • Act as the first point of contact to maintain realistic and manageable diaries and appointments ensuring that appropriate control and access to the commissioner team's time and diary is provided, assisting them in making best use of their time.
  • Treat all correspondence with discretion and where appropriate in line with statutory considerations such as data protection and the whistleblowing code.
  • Support meetings by attending and taking a note of actions as required ensuring all aspects of the meetings/conferences are organised, agendas developed if necessary and action points distributed with prompt action taken maintaining timely responses to deadlines at all times.
  • Liaise with members of the public and elected Members on behalf of the Commissioner Team ensuring that responses to actions from the Commissioner Team are completed within the expected timeframe.
  • Maintain filing systems as directed with mínimal supervision.
  • Receive, check rigorously and confer with the DCoS/CoS all expenses submitted by the Commissioner Team and once approved by the DCoS/CoS to pass for payment.
  • Liaise appropriately ensuring that all formal documents relating to the Intervention and commissioner updates to the Secretary of State are placed on the commissioner webpage hosted prominently on the Council website.

Experience & Skills:

  • Experience of working as a Personal Assistant, Executive Assistant or diary manager at a senior level is essential for this role.
  • Proven track record of providing high quality support to a senior person and/or team.
  • Strong interpersonal skills and confident in approach.
  • Able to demonstrate high levels of attention to detail.
  • Flexibility and use of initiative to provide a key support function to the team, often within tight timescales, in a fastpaced environment.
  • Strong written and verbal communication skills with an ability to gain credibility at all levels are essential.
  • Welldeveloped ICT skills.
  • An understanding of and ability to maintain highlevels of confidentiality is vital to this role.
  • Minimum of 12 months
    recent experience in a similar role, or context and ideally within a public sector organisation.
