The Business Intake & Conflicts Specialist will create conflict-of-interest checks, including for potential new clients and matters, lateral hires and marketing pitches, to ensure that the Firm avoids conflicts with its current and potential clients' interests.

They will provide attorneys and conflict analysts/attorneys with accurate and timely information to facilitate making informed decisions regarding the acceptance of new business and hiring.

They will also manage information to support the new business intake process, client engagements and the administration of client matter information.

This position requires daily interaction with secretaries and attorneys, research relating to file opening, and new client/matter compliance requirements.

What You Will Do:
Conflicts Duties

  • Review and triage conflict requests in Intapp Open to ensure that information to be checked is complete and accurate. Review to confirm that the correct request type is selected, all relevant parties with the correct position and relationship codes are added to the search, and that we have sufficient information regarding the conflict check for accurate analysis. Communicate with secretaries, attorneys and/or Conflict Analysts/Attorneys to ensure that we have complete and accurate information;
  • Prioritize work and perform conflictofinterest searches using Intapp software. Perform Capital IQ, Orbis, and other webbased research relating to individuals/companies to be searched. Report complete and accurate conflict results in a timely fashion through use of automated workflow software;
  • Carry out analysis of the search results on the less complex requests (matter reopenings, low risk new matters etc).
  • Perform party linkage to all client/matters once assigned, along with maintenance of an accurate electronic record of all approved or rejected conflict searches;
  • Coordinate daily operation of conflicts/new business workflow, assisting Conflicts team and Conflicts Analysts/Attorneys.
Business Intake Duties

  • Review matter opening documentation to ensure firm's requirements are met, including ensuring receipt of compliant engagement and waiver documents, and escalating any noncompliance issues to the Manager or Director;
  • Organize, prioritize and troubleshoot matter opening issues, including missing or noncompliant documentation; contact individuals as necessary to obtain all required documentation or otherwise secure compliance;
  • Perform administrative duties, including filing and maintaining engagement letters, outside counsel/billing guidelines and waiver letters into the firm's document management system;
  • Maintain and remove conflict "flags" from the automated accounting system and follow up with attorneys and secretaries on outstanding searches and requests;
  • Manage conflict search approvals and maintain accurate electronic records of all approved or rejected conflict searches;
  • Assist secretaries and provide support to attorneys on the use of the electronic workflow system for new business intake and conflict checking. Handle all secretarial and lawyer requests, including for matter status, client and matter changes, matter description changes, midstream conflict checks and client/matter reopens. Assist firm personnel on the business policies and procedures of the Department;
  • Assume responsibility for maintaining the highest level of confidentiality of all Firm records and files;
  • Maintain knowledge of trends, developments and new technologies impacting the Business Intake and Conflicts Department;
  • Participate in departmental project teams and initiatives as assigned.

Who You Are:

  • Previous experience performing and understanding conflict checks, understanding and use of automated conflict checking software. Experience with Intapp New Business Intake and Conflicts system is a plus;
  • Experience with corporate family tree research, and other webbased research on individuals and entities. Experience with CapIQ, Orbis, Dunn & Bradstreet and/or World Check is a plus;
  • Prior law firm experience and experience with standard suite of Windows products (Word, Outlook, Excel) preferred;
