Our original business started in 2018 with the Pharmacy Outpatient Service, that now covers 4 locations on 3 hospital sites and dispenses over 100,000 prescriptions to almost 60,000 people locally.


Café OASIS on the Stoke Mandeville hospital site, well known to patients, visitors and employees alike, offers a relaxing environment, where they can take a break from their hectic day-to-day, whilst enjoying a refreshing drink and a healthy bite to eat.


Salon OASIS, also on the Stoke Mandeville site, is where customers can experience haircuts and hair treatments, in a friendly and welcoming environment.


In 2023, plans are progressing to add a Health and Social Care Academy, and to work with our NHS Trust parent to develop a professional private patient capability.


Job Purpose


To Provide efficient, comprehensive and pro-active administrative support to the Managing Director and the BHPL Operational leadership team, to support the smooth-running of the business as it grows.


Job Role andResponsibilities

  • Update and maintain accurately BHPL electronic policies, and contracts, e.g. HR
  • Develop and maintain an electronic filing system
  • Maintain employee records and updating HR databases
  • Assist with payroll administration e.g. absences/ leave/ overtime/ submitted expenses etc.
  • Plan and schedule regular meeting and produce high quality, accurate, succinct minutes in a timely fashion.
  • Support the BHPL leadership team with arranging meetings, functions and act as central liaison with other Admin/ Executive assistants
  • Handle requests and queries from the team
  • Organise transport and accommodation as directed by the Managing Director or the team as required
  • Assist in the collation and preparation of regular reports
  • Assist with the resolution of problems, ensuring urgent issues are processed appropriately and promptly

The person we are looking for:

  • Proven administrative experience, including complex situations and communicating with various stakeholders and colleagues in fast-paced role
  • Knowledge of office management systems and procedures
  • Proficient in the use of MS office (Outlook Word, Excel, Powerpoint)
  • Excellent organisational skills and time management skills with the ability to multitask
  • Comfortable working independently and proactively as well as collaboratively with a team in a sometimes agile/ remote (WFH via MS Teams) environment
  • Excellent written and verbal skills
  • Responsible use of company credit card
  • HR and/ or Health & Safety experience a plus
  • Able to deal with difficult situations professionally and manage conflict or change in a positive solutionfocused manner.
  • The role will cover all aspects of the business. Importantly, we need someone that fits with the culture and ethos of what we are building.

Structure
The role reports to the Manager Director of BHPL.

Package


BHPL offers a competitive salary (£25,000 to £28,000, pro-rata) together with a discretionary bonus scheme, matched pension scheme, 25 days annual leave and a great place to work.
