Job description:


Working in a enriching area of DMS with an aim to increasing the effectiveness and efficiency of the regional health service.

The post holder will be responsible for providing a high standard of administrative support to Defence Medical Services.


The Administrator will support the Healthcare Centre, by ensuring the smooth and efficient running of administration within the allotted area of responsibility.


This role involves patient facing interactions, booking of appointments or courses, general enquiries and liaising with external agencies to facilitate the patient care pathway.


The role will also include administrative support to a multidisciplinary team, which involves a considerable amount of assertiveness and diplomacy to constitute the effectiveness of the department.


Person specification:

Duties of the role include but are not limited to:

  • Providing timely and effective administrative support to clinical staff in order to support the provision of assessment and rehabilitation to all patients attending the medical centre.
  • Answering telephone calls and receive all patients and visitors ensuing patient confidentiality at all times.
  • Ensuring the smooth and efficient provision of medical administration for all patients under the medical department through the referral, assessment, admission and discharge.
  • Assisting other staff members when required.
  • Organising, reviewing and updating the Defence Medical Information Capability Programme (DMICP) appointment book. Proactively organise and run the booking of all patients. This includes contacting patients, confirming attendance, maintaining a short notice register and highlighting waiting lists and Did Not Attend (DNAs).
  • Preparing all necessary paperwork for clinics at least one week in advance and be present to deal with arrival and discharge processes during the clinic.
