**Premises Administrator

  • Belvoir Group**Belvoir Group, one of the largest and leading, awardwinning property specialists in the UK, are recruiting a Premises Administrator to provide a high level of support for maintaining the corporate buildings within Grantham, the Fleet management, and Health & Safety matters. Based at The Old Courthouse, in Grantham the hours of work are 9.00am to 5.30pm Monday to Thursday & 9.00am to 5.00pm Friday, although you will be required to meet contractors from 8.00am, if required.
Reporting to the Head of HR, the key responsibilities will be:

Property Administration:

Deal with all enquiries on property issues for our corporate buildings; The Courthouse, Belvoir

Grantham and Newton Fallowell Grantham

Advise Managers on suppliers to implement branding requirements

Vet suppliers to provide the branding services as the Marketing Department standards specify.

Oversee all building projects.

Respond to planned and reactive maintenance within; The Courthouse, Belvoir Grantham and

Newton Fallowell Grantham

Review supply chain and discuss selected suppliers. This includes;

  • Energy Suppliers
  • Office cleaning providers
  • Waste disposal providers
  • Maintenance contractors: i. Electrical ii. Plumbing iii. Heating iv. Building repairs v. Fire systems vi. Security systems
Value engineer all specified suppliers. Maintain QA standards

Purchase small items as required for the buildings as required.

Meet contractors to review their services and vet costings with Line Manager to proceed with works.

Oversee special projects in all corporate buildings including;

  • Specifying works
  • Scheduling program
  • Selecting contractors
  • Managing works progress
  • Manage snagging and delivery
Manage the off-site storage arrangements

Take part in special project ESG team.

Maintain records as are require by statute and to inform management as to status of building services.

Report to management on progress of maintenance and special projects including;

  • Costings
  • Scheduling
  • Specification

Health & Safety:

Take responsibility for the management, planning and control of all Health and Safety Systems within corporate buildings as directed

Maintain health and safety works;

  • Fire Alarm System
  • First Aid
  • PAT Testing
  • Home Working Risk Assessments
  • Fire Extinguisher and firefighting equipment
  • Door Access system/ Key Holders
  • Annual Fire Risk Assessments
  • Maintaining all documentation for auditing
Manage First Aiders and Fire Marshals - booking courses

Vehicle Management:

Deal with all car leasing enquires; car quotes, ordering, management, and return

Car servicing, MOT testing, repairs, and any insurance claims

Fuel cards management

Car tracking system

Vehicle branding

Oversee appropriate Driving at Work policies including driving licence checks

Maintain accurate records and regular reporting

Requirements and Skills:

Must have a minimum of 5 years of admin experience (essential)

Good Knowledge of Health and Safety

Ability to build strong relationships with all stakeholders

Ability to hit the ground running

Possess excellent customer service skills

Be able to manage multi tasks to completion with mínimal supervision

Team player

Excellent communication skills

Hard working, Self-motivated and organised

Exceptional attention detail

Desire to succeed

Good work ethic - punctual and reliable

Package:

Full time salary up to £26,000 per annum depending on experience

Would consider part time 30 hours per week 9.00am to 3.00pm daily.

23 Days Holiday plus 8 Bank Holidays and Birthday Leave (basic days increase with length of service after a qualifying period)
