Job Overview

UHL Neonatal Service is looking for someone who would like to join the neonatal ward clerk team. You will need to be friendly and approachable with excellent communication and organisational skills.

The applicant should be computer literate and have the ability to work in a confidential manner.


You will be required to work on your own as well as being part of a team and being able to respond to changing priorities.

Previous experience within a healthcare setting would be desirable but not essential. This post may require cross site working.

Undertaking reception duties, dealing with hospital staff, parents and member of the public in an efficient, polite and courteous manner.

Answering queries and communicating complex information where there may be barriers to understanding. Maintaining security and privacy at all times.

About the University Hospitals of Leicester NHS Trust: )

  • To treat all parents visitors and colleagues with courtesy and respect: maintaining confidentiality at all times.
  • Maintaining a clean and tidy environment, and reporting all incidents/accidents to the unit manager.
  • Ensure visiting policy is adhered to with the support of the nursing staff on the unit.
  • To keep patient centre system up to date including admissions transfers and discharges of patients.

To be responsible for inpatient/outpatient notes ensuring:


  • They are available and ready for use when needed
  • That reports, care plans etc. are filed in notes
  • That notes are available for coding after discharge of patients
  • Ensure timely filling of any results
  • To be responsible for collection and delivery of post.
  • Answer telephone calls and queries from parents, relatives and members of the multidisciplinary team, forwarding enquires to appropriate staff.

To ensure the smooth running of the unit by
:

  • Keeping admission book up to date
  • Keeping daily lists of patients
  • Making follow up appointments for patients
  • Bed state is updated daily
  • Ensure all admissions transfers and discharges are entered on to the patient centre system and are accurate with the clinical data system
  • Ring health visitors daily with all admissions transfers and discharges
  • Where reports are signed and notes have left the ward area ensure reports are forwarded to the appropriate area
  • Liaise directly with secretaries re reports and notes as necessary
  • To be responsible for maintaining adequate availability of stationary requirements and information leaflets for the clinical area.
  • To assist in the general running and maintenance of the ward as a member of the multidisciplinary team.
  • Photocopy notes for transfer to other hospitals.
  • Use computer to track case notes and collect notes urgently requires by nursing and medical staff.
  • Liaise with Bereavement services to ensure babies that have died have the relevant documentation completed. Contact all other relevant departments.
  • Be prepared to accompany relatives of deceased patients to the bereavement services.
  • Ensure transfer of notes from or to coding office is undertaken.
  • To be aware of emergency procedures.
