Job summary

o To provide efficient & effective administration support to the CMHT for OlderPeople, Home Intervention Team, Single Point of Access & Older People'sLiaison To undertake the administration of all referrals received into the Reports to the CMHT Team Manager who will provide ongoing support &guidance.

Main duties of the job

o To deal with difficult telephone queries & give advice wherever possible, in a diplomatic & sensitive way, following these through with the appropriate member of staff, in a responsible & professional manner. To take messages & redirect calls as To communicate with staff in maintaining timely procedures for data entry & answer queries relating to the information held on Trust electronic systemso Prioritise own workload to meet various timescales involvedo To carry out genarl clerical duties including information gathering, dealing with internal & external post, filing, scanning, faxing & photocopying documentso Set up & maintain administrative systems, . filing system, monitoring system , to support the service & to continuously review administrative processes within the teams & contribute to the ongoing development of the Older People's Service with the Team Managers/ Service Data input onto PARIS, including uploading documents, & produce reports as requestedo Provide accurate & efficient admin support including appropriate correspondence on behalf of the serviceo Update rotas for managers & other staff. Act as first point of contact for queries on rotas/ work schedules as appropriate

Job responsibilities

Liaise with clinicians & service users to rearrange clinical visits as requested Coordinate Lone Worker response on a daily basis & feedback any issues to the appropriate Team Manager at 5pm each day. To work flexibly to cover secretarial/administrative duties in the absence of colleagues where requested to do so by a manager Responsible for the safe use of all equipment ensuring a healthy, safe & secure working environment & reporting any risks, incidents or complaints following Trust policies & procedures Actively contribute to own personal development by producing a personal development plan with line manager, identifying training needs to continually develop skills & experiences to become an exceptional team member. Arrange meetings on behalf of the service as requested To work with & support the Team Managers & teams in their day to day work

To work to & understand boundaries within the service & work within service & Trust confidentiality policy & procedures To maintain the existing stock control system & ensure supplies are ordered & checked on a regular basisThis job description is not exhaustive, but is intended to give an overall picture of the role. Person Specification

Education / Qualifications

Essential

GCSE IN English & maths or equivalent Evidence of recent further development / training to NVQ 3 level

Desirable

RSA II / ECDL or equivalent Completion of PARIS training

Experience

Significant administrative experience in a similar environment

NHS experience

Knowledge

Understanding of administrative processes Understanding of confidentiality & data protection policies & procedures

Knowledge of mental health services. Knowledge of Excel
