As our new Finance/Office Administrator, you will play a key role in delivering outstanding engineering, cleaning, and catering services to our prestigious Leonardo Account across six sites in the UK.

Our customer is highly engaged and has strong views on how they expect our services to be delivered, so you will need to be ready to hit the ground running and work collaboratively with our team to meet their expectations.


In this highly autonomous role, you will be responsible for the ongoing improvement of site administrative records, work order management, and the efficient operation of timesheets, work orders, sub-contractor reports, and billable works.

Your proactive can-do attitude and high degree of initiative will be essential in ensuring that we meet the client's expectations while maintaining account performance.

Key Responsibilities_**_

  • To Monitor site performance against SLA's and KPI's in line with customer expectations and ensure Monthly Report data is collated and delivered to reporting timelines
  • Collate Cost calculators for all FM Engineering Reactive work orders and corrective tasks. Collate the cost data daily onto the Monthly Semicomp spreadsheet and forward that data to the Performance Manager weekly and at Month end
  • Timely collation of Time and Attendance data and complete the T&A records for the site fortnightly and monthly timesheets for management approval and submission and alert management to any irregularities
  • Maintain the site Logbooks and subcontractor files up to date and ensure all admin records, correspondence, quotations, reports and certification are held for audit purposes
  • Assist the site team with Site Inductions, Site safety inspections and near miss reporting as required to ensure a strong safety culture across the Leonardo account, with adherence to company processes for risk assessment, training, safe working, accident reporting and investigation
  • Positively influence customer relationships to ensure regular contact is maintained and service delivery expectations are achieved / exceeded. Strengthen customer relationships to support contract retention whilst protecting operational margins
  • Assist in strengthening and developing management processes, develop and monitor staff Development Plans, training matrix and LMS compliance
  • Provide admin support for new growth opportunities across the existing portfolio and any new business growth opportunities

Professional and personal competencies/qualifications_**_

  • Preferably CLAIT or similar IT skills
  • Preferably IOSH qualification
  • Experienced administrator in a facility service environment
  • Must be numerate and literate
  • Ability to understand customer requirements and translate them into successful operational reports
  • Experience in FM Administration preferably within the Industrial and Manufacturing type environments
  • Sound understanding of Utilities & Energy Management
  • Experience and understanding of asset risk management
  • Excellent IT skills (Word, Excel and PowerPoint as a minimum)
  • Report writing experience
