The Post

You will be based within the Faculty of Health Sciences and Sport as part of the wider Student and Faculty Operations grouping which brings together faculty-based professional services teams and related central services.


You will act as a first point of contact for staff and students, deliver a range of tasks relating to the administration of academic programmes and other Faculty activities, support the student experience, and assist academic staff, students and professional service colleagues.

You will demonstrate strong communication, organisational and administrative skills and support the day-to-day running of a busy office.

An interest in supporting the student community is essential, as is the ability to work flexibly as part of a team and to prioritise responsibilities within a busy working environment.


You will work closely with colleagues across the Faculty as well as others within central professional services teams including Student Administration, Academic Registry, and Student Support Services.


Description of Duties

  • Provide administrative support across a range of academic programmes and activities to deliver an excellent student experience and high levels of customer service, adopting a continuous improvement approach to process review; provide front line support to all academic and professional services colleagues, applicants, and students
  • Maintain and update materials and information on the virtual learning environment (VLE)
  • Support the appointment of external examiners, preparation of examination papers, coordination of assessment and progression, arrangements of examination boards and PhD vivas, grade uploads and awards
  • Liaise with both central service and partner institution colleagues on such matters as student progression, leave of absence and enrolment
  • Responsible for administration of late submission of essays and extension requests and ensuring that Module Coordinators are advised accordingly
  • Assist with recruitment, conversion and induction activities, as required
  • Support the Operations Officer, Module Coordinators and Programme Directors to review and update module and programme information to ensure accurate accuracy
  • Monitor student attendance and engagement, identifying and reporting concerns to senior colleagues
  • Support student and staff consultative committees and working groups relating to the student experience
  • Ensure programme materials are accurate and communicated across a range of written and digital publications and platforms
  • Provide administration for student placements on key programmes Appropriately support a range of employability related activities such workbased learning, advisory boards and alumni mentoring schemes as required
  • Raise purchase orders and sales invoices; book staff travel and ensure relevant risk assessments are completed; process staff and student expenses, as required
  • Maintain fixed assets registers, as required
  • Liaise with property management regarding the refurbishment and redecoration of offices and the replacement of equipment, as required
  • Order and maintain office supplies, as required
  • Assist preparations for internal learning and external teaching reviews and external accreditations of teaching provision by professional statutory and regulatory bodies (PSRBs)
  • Support the collation of module review reports and annual programme monitoring reviews
  • Maintain accurate records in accordance with data protection legislation and professional body requirements
  • Participate in specific projects on behalf of senior academic and professional services colleagues
  • Work flexibly and collaboratively, providing administrative support across the Faculty and University; contribute to major events such as open days, graduation, conferences, research week; willingness to work occasional nonstandard hours
  • Provide effective support to Faculty committees and working groups, as required
  • Demonstrate a proactive approach to personal development and undertake development in skill areas related to the post
  • Support post award research activities, as required
  • Undertake any other duties and responsibilities, commensurate with the grade of the post, as directed by line manager

Essential Criteria

  • Educated to a minimum of HNC/HND level, or equivalent professional experience
  • Proven experience working in a busy, customer focused administrative environment
  • Strong organisational and time management skills and ability to prioritise a range of tasks in a fastpaced environment, while maintaining high standards of quality and accuracy
