Role Purpose
The purpose of this role is to actively support the Chief Executive, The Board and PCN workload by undertaking secretarial and other supportive activities, providing structure and organisation to enable and progress the general activities and responsibilities of the Organisation.
The post holder will work under the direction of the Operations Supervisor with the aim of providing efficient, effective and high quality Executive administrator activities.
Key Responsibilities are to include
To provide all aspects of administrative support to the organisation;
Organising specific events and meetings required by the management team and PCNs;
To conduct events risk assessments;
To attend and minute meetings as required;
Preparing agendas, organising and contributing to the office, Board and PCN meetings and training sessions;
Completing any non-clinical actions that are assigned following on from meetings;
Producing high quality presentations /agendas for meetings, ensuring these are circulated prior to meetings;
Providing comprehensive administrative support, taking minutes at meetings, resolving conflicting appointments and arranging urgent meetings, which arise on a day-to-day basis;
Managing diaries to ensure the right focus is placed on priorities;
Undertaking specific assigned tasks, project support or development work as required;
Collating and processing data as required;
Producing and editing communications for management and staff;
Formulation of relevant reports for the Board and their distribution;
Working on own initiative, replying to letters / memos and requests as and when required;
An excellent level of communication and relationship skills, liaising with staff at all levels within the organisation, as well as external organisations;
Proactively monitoring and working to meet all deadlines and actions;
Maintaining business confidentiality at all times;
Dealing with general enquires and telephone calls in an efficient manner;
Management of room allocation and diarising of organization meetings;
Supporting the wider office team with extra-ordinary workload and administrative cover as required;
To provide cover across the team(s) as and when required;
To provide other ad hoc duties as considered appropriate by the organisation.
Information Technology
Use and support the use of Information Technology and communications systems within the organisation;
Work with the management team to ensure the practice meets the requirements of the Data Protection Act /GDPR and maintains the Practices registration.
Confidentiality
It is the nature of work of SW Healthcare that tasks and responsibilities are, in many circumstances, unpredictable and varied.
All staff are, therefore, expected to work in a flexible way when the occasion arises where tasks which are not specifically covered in the Job Description have to be undertaken.
The job description is not exhaustive and may be adjusted periodically to reflect the on-going changes in practice.Job Types:
