This role has shared responsibility for leading operational financial management for the trust and its academies.

As a member of our central team, you will be expected to support the Executive Board to deliver efficiencies in working practices.

My client is a multi-academy school trust, specialists in early years and primary provision, with fifteen good and outstanding primary, first and nursery settings and a thriving teaching alliance.


Description

  • Build a 'business partner' relationship with academies. Work with the DOF to hold leaders to account for delivery within agreed budgets. Use Key Performance Indictors to highlight areas of relative strength and weakness to support conversations with schoolleaders about making efficiency improvements and responding to change.
  • Under the guidance of the DOF, prepare multiyear budgets at whole trust and individual academy level. Work with school leaders to formulate a detailed budget allocation with reference to the School Development Plan. Support school leaders to monitor performanceagainst budget, identifying trends and variances for investigation.
  • Report spending of grants with specific conditions, such as Pupil Premium, Primary Sports Premium, SEND/High Level Needs funding, Devolved Formula Capital.
  • Prepare monthly management accounts including an income and expenditure report for each academy, the Teaching School and Central Team, a whole trust balance sheet and cash flow report.
  • Review the management accounts (income and expenditure) and prepare a detailed commentary, drawing on key performance indicators, on the management accounts for the DOF review.
  • Review the balance sheet every month. Ensure that there is supporting evidence for all balances including reconciled control accounts. Monitor the aging of debtors and creditors. Inform the DOF of any matters of importance including control account differences,balance write offs, contingencies and reserve uncertainties.
  • Maintain fixed asset registers and post monthly journals for recognition of fixed assets.
  • Prepare monthly VAT return(s).
  • Support and undertake procurement in line with Financial Regulations. Under the guidance of the DOF or Director of Operations prepare data for inclusion in procurement tenders.
  • Manage payment of suppliers ensuring compliance with credit terms and government procurement notices.
  • Responsible for finance processes. Ensure that income and expenditure in relation to projects is recorded accurately in the accounting system. Retain detailed financial records suitable for review by internal scrutiny and examination during external yearendaudit. Prepare schedules for the yearend audit such as payroll and income reconciliations on a monthly basis.
  • Responsible for monthly payroll reconciliations including ensuring timely authorisation by school leaders. Ensure all contract changes have been actioned and differences are explained.
  • Ensure the trust receives the income that it is entitled to from the ESFA and Local Authorities as well as other bodies. This involves monthly reconciliations.
  • Lead best practice across the trust, arranging agenda foci for finance team meetings and training events attended by school administrators and central staff.
  • Support and mentor other members of the finance team to carry out routine tasks including, but not limited to, raising purchase orders, invoice and cashbook processing, monthend journals for payroll, accrued and deferred income, accruals and prepayments.
  • Assist in the preparation of financial returns to the ESFA, LA and other agencies to ensure submission within statutory deadlines, such as the Budget Forecast Return Outturn, Budget Forecast Return, Accounts Return and Annex G grant returns.
  • Ensure compliance with the Trust's Financial Regulations and associated policies and the Academies Financial Handbook at all times. Implement and follow policies and procedures to ensure value for money and the security of financial resources includingaccurate handling and security of cash and cheques.

Profile

  • Experience in preparing monthly management accounts and other financial reports.
  • Experience in preparing budgets.
  • Has some experience in budget management (revenue or capital) through a full financial year or life cycle of a project.
  • Experience in reconciling control accounts and resolving technical accounting issues.
  • Able to engage and communicate effectively with a range of stakeholders, building relationships and modifying style as appropriate to the audience
  • Ability and willingness to support and respectively challenge leaders where appropriate
  • Ability to meet deadlines by managing competing priorities over sustained periods of time, making judgments, and adapting to changing circumstances and priorities
  • Ability to work proactively, plan and organise own and others' workload, to optimise resources and complete targets within agreed timescales
