Administration Assistant, Thames Valley

The position is full-time and will be based in the Thames Valley office.

Main responsibilities:

  • Office and team support
  • Supporting Managers in all departments with a variety of office administration tasks including; filing, printing, scanning and photocopying, organising incoming / outgoing post, data inputting, etc.
  • Management and organisation of office supplies and associated inventory lists
  • Keeping internal records and files accurate and uptodate
  • Organising appointments and updating diaries
  • Events
  • Administration of all event related activity: finding and booking venues, acting as the RSVP contact on invitations, responding to external and internal event enquiries in a professional timely manner, maintaining guest lists and keeping internal stakeholders regularly updated on RSVP progress, liaising with speakers
  • Assisting in preparing event material: support with slides, delegate lists, delegate packs, badges etc
  • Onsiteoffsite set up and event coordination this may require some working out of core hours
  • Creates event feedback reports
  • Coordinates attendance of external events booking/administration of networking events and tracking attendance on CRM
  • Taxi bookings for attendees.
  • CRM/database administration
- updates contacts and marketing lists
- event invitation mailings, support with publication mailings using Concep.

  • Marketing/promotional material
- supports the development of marketing material (invitations, adverts, alerts, Powerpoint presentations)
- organises ordering of Crowe promotional items.

  • Any other ad hoc event and administration support required by marketing and office departments.
Essential skills and qualities

  • Good command of English.
  • Good communication skills both written and oral.
  • IT literate good working knowledge of Microsoft Outlook, Word, Excel, Powerpoint.
  • Excellent time management.
  • Excellent organisational skills.

  • Ability to work autonomously as well as part of a team.
