Originally established in 2010, Complete Fertility is part of the Virtus Health Family of fertility clinics, and the first in the UK.

We are a close-knit and supportive team of around 60 staff, with a focus on patient care, research and innovation.

With close links to the University of Southampton, we regularly participate in exciting large scale multicentre clinical trials.

Role:
Administrator

Salary:
from £22,500 per annum pro rata

Accountable to:
Admin Manager

Hours of Work: 25-30 hours per week, Monday - Friday, between 08:00am - 20:00pm dependent on schedule

Main purpose:

  • To ensure that patients are managed through the Complete Fertility pathway efficiently and safely.
  • To increase the revenue stream within the centre
Job Outline

  • Be the first point of contact for patients to Complete Fertility.
  • Take ownership of the progression of all patient enquiries and become a point of contact for patients throughout their fertility journey.
  • Follow up on patient enquiries who have not responded back after initial contact within a specified timeframe.
  • Provide information about our services and updates for all patients, including the promotion of any exclusive offers.
  • Raising invoices for services provided and prescribed medication, also taking payments either via phone or at reception.
  • Checking in patients at reception, booking appointment and being first point of contact at the clinic.
  • Arrange and book appointments and creating consent packs prior to starting treatment.
  • To create lists of patients that are appropriate to follow up and to contact them to see if they require any further treatment
  • Monitor the availability of initial appointments ensuring that all perspective patients may be seen in a timely manner.
  • Maintain efficient process flows and close enquiries in a timely manner.
  • Liaise with all departments to organise the patient fertility journey.
  • Promote an excellent patient focused service and be the primary point of contact for any private patient complaints, with a strong emphasis on resolution.
  • Ensure the patient experience is consistently delivered.

The successful applicant must:

  • Have at least 2 years' experience working in a busy administrative role.
  • NHS or private healthcare administrative experience (desirable).
  • Work flexibly as part of a multidisciplinary team.
  • Have evidence and/or qualifications in Customer Service training in a previous role (desirable).
  • Experience of call handling and dealing with customer enquiries or concerns.
  • Be happy to go the extra mile by proactively communicating, solving problems and building relationships with our patients to ensure that they receive an excellent patient experience.
  • A willingness to work positively with the team to achieve goals and ensure excellence in service delivery.
  • Be highly motivated, with excellent communication and strong interpersonal skills with the ability to work effectively in a team environment as well as independently as required.
  • Able to build excellent relationships with our patients, directors, and consultants.
  • Methodical and accurately maintain records.
  • Awareness and understanding of the issues that our patients are facing with regard to assisted conception.
  • To input into the weekly operational meetings of the clinic
  • To promote a positive culture amongst the team and lead by example
  • To liaise with other stakeholders with regard to matters of service development.
  • To undertake other duties as and when required by the demands of the service, or by the Admin manager.
