ADMINISTRATION ASSISTANT with Reception duties
Compass Counselling Service is an established voluntary organisation providing affordable counselling in the New Forest area.

We are looking for an Administration Assistant to join our small team of Office staff.


The Administration Assistant will provide administrative support alongside the Head of Administration to ensure the smooth day to day running of Compass.


Duties to include:

  • General administrative tasks such as filing, copying, shredding.
  • Maintaining client records.
  • Recording client payments.
  • Processing and preparing invoices.
  • Managing weekly timetables, diary and annual leave calendar.
  • Liaising with counsellors and Supervisors.
  • Provide general administrative support to the Clinical Team including corresponding with GPs and other health services.
  • Ensuring confidentially is maintained at all times.
  • Ensuring the provision of supplies stationary, tissues, refreshments, stamps, etc and informing the Head of Administration when these need ordering.
  • Organising and preparing information for Executive and Trustee meetings such as booking rooms for meetings and preparing agendas and statistics.
  • Any other office tasks as required.
  • Maintaining an atmosphere of quiet, calm and welcome for all using Compass.
  • Providing flexibility to cover the office when necessary for sickness and holiday.

  • Good telephone manner and ability to communicate at all levels.
  • A high degree of confidentiality, tact, diplomacy and discretion.
  • Good organizational and presentation skills.
  • Ability to work in a busy office environment and prioritise workload.
  • Good knowledge / intermediate user of Word, outlook and Excel.
  • Excellent attention to detail.
  • Flexibility to cover holiday hours.
  • Sympathy with and respect for the ethos of counselling and counselling training.

Job Types:
Part-time, Permanent

Part-time hours: 20 per week

Salary:
£11.00 per hour

Schedule:

  • Monday to Friday
