Position Summary. Th is Executive Assistant role supports both the Director of Program Services and Director of Quality Enhancem ent . The Executive Assistant ’s charge is to be proactive and strategic in supporting both Director s by spearheading projects, managing important assignments , and tracking their calendar s and all other administrative de tail s. Tasks will vary based on the needs of the Directors and the organization. All work must be completed with a high level of confidentiality, efficiency, accuracy, flexibility , and positivity. Most work will be performed at Jubilee’s office in Kensington, MD during business hours with some evening and weekend duties . This is a full-time salaried exempt position starting at $72,000.

Responsibilities

  • Assist with department-related issues and be available to staff of Program Services (PS) and Quality Enhancement (QE) with administrative tasks that includ e updating changes in schedules and caseloads, sorting mail and medications, filing, and acting as an emergency back-up for program need s. These duties require daily in - person work at the office .
  • Manage calendars for the Director of Quality Enhancement and Directors of Program Services .
  • Manage routine email for Directors. Respond to email, phone calls, and other inquiries on behalf of the Directors.
  • A ssist the operations team with the o rganiz ation and main tenance system of filing/purging client files and information.
  • Coordinate m eeting management , includ ing booking conference space, sending and confirming invitations, preparing agendas and handouts , serving as host for remote meeting s, managing presentation materials on laptop and smart TV for in-person meetings, taking notes, distributing action items, ordering food , and work ing closely with the Admin Staff (Admin, transportation, Informatio n Technology ) to resolve an y outstanding issues .
  • Manage and update the nurse's assignment schedule and the On-Call schedule .
  • Coordinate and attend meetings , taking minutes and disseminating materials , as needed .
  • Coordinate travel , order supplies, and reconcile and submit credit card and expense reports.
  • Acquire and maintain all required training for the position , including m edication a dministration.
  • Anticipate and proactively suggestways to enhance efficiency or quality of work and implement when appropriate .
  • Be a team player across the organization and participate in regular meetings within the PS and QE departments , the management team , and more .
  • Other duties as assigned .

Qualifications

  • Associat e s degree or equivalent coursework .
  • 2-3 years of related professional experience .
  • Excellent interpersonal and written communication skills .
  • A bility to anticipate needs, solve problems, be proactive , and deliver excellent customer service .
  • Experience supporting more than one executive preferred.
  • O rganizational skills and attention to detail .
  • D iscretion and ability to safeguard confidential information.
  • T echnology skills to effectively use systems and applications: MS Office, smart TV ’ s, virtual platforms .
  • Passion for Jubilee’s mission and ; desire to work with and learn from people who have intellectual and development disabilities .
