Position Overview

We are seeking a highly motivated and passionate Event Coordinator specialized in the planning and execution of live music events. This is a highly independent role, and the ideal candidate will have proven experience of planning, delivering and reporting on high level events.

The candidate should have an excellent working knowledge of the live music scene in Portsmouth and wider Hampshire area.

Key Responsibilities:

- Plan, coordinate and operate all live event functions to ensure optimal delivery of live experiences.

- Coordinate event venues and all branding elements to ensure a cohesive and visually appealing experience.

- Coordinate event requirements such as AVL, security and staffing.

- Manage the launch of tickets and participant information, ensuring smooth registration processes.

- Identify local and national platforms in which to advertise and market events.

- Manage all budgetary requirements, including monitoring expenses and identifying cost-saving opportunities.

- Ensure compliance with all event licensing and regulatory requirements whilst maintaining accurate documentation.

Requirements:

- Bachelor's degree in Event Management, Business Management, or a related field.

- Proven experience in coordinating live events, preferably music, with a strong understanding of event logistics and operations.

- Excellent communication and interpersonal skills, with the ability to work independently.

- Proficiency in project management tools and software.

- Strong attention to detail and problem-solving abilities.

- Ability to work flexible hours, including evenings and weekends, as required by event schedules.

Hours of Work:

Self-Logged Hours:

  • The Event Coordinator is required to maintain a self-logged record of their working hours. The candidate must accurately log the start and end times of their work each day, along with any breaks taken during the work period.

Minimum and Maximum Working Hours:

  • The candidate is required to work a minimum of 20 hours per week.
  • The candidate is permitted to work up to a maximum of 40 hours per week.

Flexibility:

  • Working hours are flexible, allowing the candidate to schedule their time in a manner that best suits their productivity and personal commitments, provided that the minimum and maximum hour requirements are adhered to.

Reporting:

  • The candidate must submit a weekly timesheet by EOW to their supervisor for review and approval. This timesheet must accurately reflect the hours worked each day and be signed by the candidate as a true record of their time worked.

Compliance:

  • Failure to accurately log working hours or consistently meet the minimum hourly requirements may result in disciplinary measures, or termination of employment.

Overtime:

  • Any hours worked beyond 40 per week must be pre-approved by a supervisor and may be subject to overtime compensation, in accordance with Icarus Events Company Policy/Local Labor Laws.

Compensation:

- This is a Freelance/Contract Position

- This is a 3-month position with the option to continue after the initial contract period into a 12-month rolling contract based on performance review.

- 14.00GBP per hour + bonus structure
