Job Overview:


The Logistics and Fulfilment Executive is responsible for coordinating daily logistics and order Fulfilment activities, ensuring the smooth and efficient flow of goods between warehouses and from warehouse to trade and dropship customers. This role involves understanding and complying with customer requirements, processing orders, coordinating shipments, managing inventory and supporting the logistics team to achieve operational goals. The ideal candidate will have strong organizational skills, attention to detail, and the ability to work in a fast-paced environment.


Key Responsibilities:


  • Order Processing & Fulfilment:
  • Process customer orders through Gift Republic’s sales order and warehouse management systems and customer portals, ensuring compliance with customer’s detailed shipping and booking-in instructions.
  • Prepare commercial invoices, ensuring weight, dimensions and country of origin of shipments are accurately displayed.
  • Coordinate with warehouse staff to pick, pack, and ship orders in a timely manner.
  • Monitor order statuses and proactively resolve any issues related to delays or inaccuracies.
  • Logistics Coordination:
  • Book advanced shipments to trade customers using customer routing portals ensuring compliance with customers special requirements, advanced shipment notices, weight, dimensions and labelling.
  • Arrange and coordinate shipments with logistics providers, ensuring cost-effective and timely delivery.
  • Track shipments and provide updates to customers or internal teams on delivery statuses.
  • Assist in optimizing shipping routes and methods to minimize costs and delivery times.
  • Inventory Management:
  • Monitor stock levels and work closely with the warehouse team to ensure accurate inventory records.
  • Report discrepancies in inventory and take corrective actions to prevent stock shortages or overstocking.
  • Warehouse Support:
  • Support warehouse operations by ensuring proper handling, storage, and dispatching of goods.
  • Assist in managing inbound shipments, including receiving and checking deliveries.
  • Customer Service:
  • Communicate with customers regarding order statuses, delivery schedules, and any issues related to Fulfilment.
  • Resolve customer complaints or order-related queries in a professional and timely manner.
  • Collaborate with sales and customer service teams to ensure customer satisfaction.
  • Reporting & Documentation:
  • Maintain accurate records of orders, shipments, and inventory data.
  • Prepare daily, weekly, and monthly reports on logistics performance and inventory levels.
  • Assist in maintaining shipping documentation and ensuring compliance with regulations.


Qualifications & Skills:


  • Bachelor’s degree in Logistics, Supply Chain Management, Business, or a related field (preferred but not mandatory).
  • 2+ years of experience in logistics, Fulfilment, or supply chain roles.
  • Knowledge of logistics processes, warehousing, and order Fulfilment systems.
  • Proficiency in logistics software (e.g., WMS, ERP systems) and Microsoft Office Suite.
  • Strong attention to detail and ability to handle multiple tasks simultaneously.
  • Excellent communication and problem-solving skills.
  • Ability to work in a fast-paced, dynamic environment.
  • Basic understanding of inventory management and stock control processes.


Preferred Qualifications:


  • Experience in business to business, amazon, e-commerce, retail, or similar industries.
  • Familiarity with third-party logistics (3PL) providers and shipping carriers.
  • Ability to work both independently and as part of a team.
