Upsilon Gallery seeks a highly motivated, extremely organized, and collaborative individual to join our team as Registrar. Reporting to the Managing Director, London, the Registrar is a critical, cross-departmental role, responsible for leading a range of significant functions of the operations team, including record-keeping, data management, fine art shipping, exhibition and fair planning, and gallery operations. This position is a full-time role, Tuesday through Saturday, and will require flexibility for additional hours based on the needs of the gallery.

Upsilon was founded in 2016 in New York City by Marcelo Zimmler. Upsilon has expanded over the past years to include outposts in London and Miami. The gallery presents the work of artists who have been instrumental in shaping its identity over the past years, and who are the inspiration for Upsilon’s diverse range of activities that engage with art, publishing, scholarship, and technology. Upsilon Gallery specializes in international postwar and contemporary art with a mission to feature a variety of innovative perspectives and approaches, with a focus on rediscovering overlooked artists within a historical scope. PRIMARY RESPONSIBILITIES:
RECORDS:
- Maintain all inventory record management for the London gallery (including shipment tracking spreadsheets, exhibition and provenance information, auction inventory, and all related documentation), ensuring accuracy of captions, notes, forms, lists, and other relevant information added by Directors
- Ensure that all consignments between London and New York galleries are current and accurate
- Assist with maintenance of incoming and outgoing client consignments and loans for the London gallery
SHIPMENTS:
- Pull shipping estimates, ensuring cost effective and efficient solutions for the gallery and its clients
- In collaboration with New York-based Registrars and Artist Liaisons, assist with coordination of shipments incoming and outgoing from London, including securing multiple quotes, liaising with shippers directly; and arranging shipments
- Define packing and installation needs and make recommendations while liaising between shippers, Head Preparator, and Artist Liaisons
- Oversee and coordinate condition reporting of incoming and outgoing artworks, with art handler assistance
- Accept and/or release artwork to shippers and/or clients, preparing outgoing work and release paperwork
EXHIBITIONS & FAIRS:
- Collaborate with the Head Preparator on all installation and de-installation logistics, including coordinating with Artist Liaisons on install date(s) and deadline(s)
- Obtain artwork specifications from Artist Liaisons for entry into the database (including captions, production, installation, and/or handling notes)
- Ensure clear communication of arrival dates of artwork for coordination of individual and install photography
- Assist in the coordination of Europe and London-area art fair logistics
OPERATIONS:
- Maintain all offsite and onsite storage for the London gallery, including ensuring best practices in artwork storage and tracking, coordinating inventory reports, and conducting storage audits, as needed
- Assist in the packing/unpacking of artworks, as needed
- Participate in and maintain a culture of respect and belonging; ensure close collaboration with counterparts at London gallery; and provide training and mentorship of new hires
QUALIFICATIONS:

We seek candidates who are extremely self-motivated, responsible, and efficient, and who hold a sincere appreciation for and experience with navigating diverse cultural spaces. In addition:
- Knowledge of contemporary art and art history required
- Minimum two (2) years of experience working in a registrar role at a contemporary art gallery, auction house, or in logistics at a fine art shipping company preferred; assistant and/or associate-level registrar experience also welcomed
- At least five (5) years of professional experience in logistics, collections management, artist studio management, or in framing and conservation preferred
- Prior working relationships with multiple fine art shipping companies, framing studios, and conservators (particularly in the London-area) welcomed
- Knowledge of various artwork media and fabrication materials and methods, as well as familiarity with general best practices in art handling and packing procedures
- Experience conducting standardized condition reports and recognizing conservation needs
- Experience in project management, including implementing and overseeing multiple projects with overlapping timelines and creating checklists from databases and spreadsheets
- Basic knowledge of contemporary art fairs and some experience coordinating related logistics welcomed
- BA in Modern or Contemporary Art History or related field preferred, but consideration is given to candidates with related experience
- Skills in a Mac-based environment required, including: Google Suite (Gmail, Calendar, Sheets) and Microsoft Office Suite (Word, Excel, PowerPoint)
- Skills in the Adobe Creative Suite (Acrobat, Photoshop, InDesign) preferred
- Intermediate experience with data management and databases preferred; specific knowledge of ArtBase / FileMaker, Artlogic, The Museum System, Arternal, or related databases welcomed
- Fluency in multiple languages welcomed
- Preference is given to candidates with expert knowledge of global contemporary art
