Reports to: Technical Manger

Role Purpose:

To provide administration support to Site Operations Team based on site at the Glades Shopping Centre, Bromley.

What you will be doing

Place suppliers orders using the CAFM (computer aided facilities management) system and produce quotations. Input time sheets onto the relevant systems. Upload information to clients CAFM as required in a timely manner. Compile reports as required to enable the Company to fulfil its contractual obligations. Liaise with the operations team from engineer to director level. Raising and chasing additional work statements sheets in a timely and accurate manner. Focus on WIP and keeping it below 3 months. Compiling all information required for credit notes to be raised. Raising of invoices and dealing with invoices queries to achieve a suitable resolution. General filing and organisation of work area, general administration duties as required from time to time following Company administration procedures at all times. Attend team briefings as required. Represent the Company in a positive and professional manner at all times Carry out any other reasonable instruction from the line manager, their line managers or member of the senior management team. Co-operate with the company to allow it to fulfil its moral and legal duties and obligations.

What we will need from you:

IT literacy with experience in MS Packages (Word, Excel & Outlook) (essential) and in-house CAFM systems (desirable but training will be provided) Excellent verbal skills with ability to communicate effectively with customers/internal & external stakeholders along with a good standard of written communication (essential). Experience of raising purchase orders/invoices/credit notes (essential). Proven attention to detail and accuracy skills (essential). Organisational and time management skills (essential). Ability to work independently using your own initiative as well as being a conscientious and reliable team player (essential). Results/task orientation with ability to deal with multiple priorities with maximum results (essential). Proven experience in a similar Administrator role gained within an FM/Engineering environment (desirable). Knowledge of the Building Services industry (desirable).
