Job summary

An exciting opportunity has arisen to join our Trust as a Band 5 Executive Assistant as part of Lambeth Together, which is an integrated local care partnership. Lambeth Together unites a wide range of partners from the voluntary and community sectors, NHS, and Lambeth Council. It focuses on creating an integrated health and care system that addresses the needs of the local population effectively and equitably. Central to its operation are the Neighbourhood and Wellbeing Alliance and the Children and Young People Alliance. These alliances work toward enhancing community health, supporting individuals through a more cohesive and connected approach to care.

This post is critical to supporting these alliances and will ensure the efficient management and coordination of their activities. Whilst hosted within the Trust, this post is uniquely orientated toward supporting the transformative work of Lambeth Together. This arrangement ensures that the role is deeply integrated into the fabric of community health improvement, benefiting from the Trust's infrastructure and support while focusing on the specific objectives and leadership directives of the Neighbourhood and Wellbeing Alliance and the Children and Young People Alliance.

Main duties of the job

To provide comprehensive executive assistant and business support to the Neighbourhood and Wellbeing Alliance and the Children and Young People Alliance within Lambeth Together.

This role is crucial for ensuring efficient day-to-day operations and the smooth functioning of the directors' offices,facilitating effective internal and external communications.

The post holder will contribute significantly to the success of both alliances by supporting a wide range of activities, from administrative tasks to project coordination.

Additionally, the role involvesparticipating in cross-cover arrangements with other executive assistants within the senior leadership team and the Lambeth Business Support Administration Team, guaranteeing consistent support across the leadership spectrum at all times.

Experience

Essential

Experience of working under pressure, with strict deadlines and dealing with a range of complex issues, sometimes leading to conflicting priorities national and local reporting targets, managing conflicting diary appointments at senior management level to bring about a resolution. Extensive experience working as a Personal Assistant or Executive Assistant at an Executive Director level. Experience of working in a large, multi-professional organisation.

Desirable

Proven experience of organising events Experience of working in the NHS, local authority or care sector Experience of a wide range of Trust procedures and practices

Skills

Essential

Excellent organisation skills with the ability to apply appropriate judgement to deal with competing demands and high workloads. Excellent communication skills both orally and written. Ability to develop and maintain effective working relationships with colleagues of all levels of the organisation. Ability to prioritise, screen and handle calls on behalf of a senior management team. Ability to be flexible and adaptable and cope with frequent and unpredictable interruptions. Ability to prioritise and make decisions, following clear procedures and using initiative to develop new working methods. Ability to identify development needs for self and the team. Ability to work autonomously. Advanced software skills in word, excel and PowerPoint and ability to learn other packages or databases as required. Ability to work within a team environment and display initiative when necessary. Strong attention to detail and able to produce accurate and detailed work.

Ability to support projects through the development and tracking of action logs and plans

Communication

Essential

Excellent telephone manner Very well developed oral and listening communication skills. Listens attentively and speaks clearly and confidently and able to impart accurate information.
