Gatwick Airport has an exciting opportunity for a Lead Process and Systems Manager to be part of a high performing team building Gatwick's future infrastructure.

The Lead Process and Systems Manager plays a pivotal role in overseeing the successful execution of capital projects at London Gatwick. This involves meticulously documenting and training on essential procedures, ensuring the implementation of supporting IT systems, and upholding corporate governance standards. This role significantly impacts the efficiency, safety, and cost-effectiveness of project delivery within the organisation, adding substantial business value.

Principal accountabilities

Portfolio Visibility

Objective:  Enhance the visibility and integration of the capital investment plan with current project data, improving resource planning and supply chain management.

Development of Portfolio Management model in Anaplan and associated workflows/process covering the entire Construction Capital Project portfolio (both in-flight and not yet initiated). Reporting capability & interfacing of data to PowerBI. Initial Phase focusing on delivering the Portfolio Management and Supply Chain Management models. Phase 2 will deliver the Resource Forecasting model.

Performance Visibility (KPIs)

Objective:  Develop a robust suite of Key Performance Indicators (KPIs) to monitor and improve the performance of the Project System, ensuring data-driven decision-making and enhanced transparency.

Definition of KPIs: Collaborate with stakeholders to define a comprehensive list of KPIs that reflect critical performance metrics for the Project System. Phased Roadmap: Create a phased development roadmap prioritising KPIs based on data availability and integrity. Automation of KPIs : Implement automation processes for KPI tracking and reporting, reducing manual efforts and improving accuracy. Interactive Dashboards: Develop user-friendly dashboards for department-wide interaction and engagement with the KPIs. EMB Reporting: Ensure that the KPIs are aligned with Executive Management Board (EMB) requirements for regular performance reporting.

Construction Systems Review

Objective:  Streamline construction, contract, and document management systems to enhance efficiency and decision-making by establishing integrated systems and functionalities that will provide the team with a seamless working environment.

After conducting an Expression of Interest with prominent software providers and assessing tailored demonstrations to meet our specific needs, we're confident in the feasibility of integration.

Key next steps include:

Raising a formal project Migration Planning: Explore specifics of data migration, considering the transition from new projects to existing data. Asset-Centric Information Management: Understand requirements to transition to an asset-centric information management approach. International Standards: Consider the adoption of international standards to ensure best practices and global compatibility.

Qualifications and Experience:

Educated to Degree/Post-Grad level or equivalent in relevant technical or business subject or equivalent experience of working in a project management role. Practitioner level in project management (e.g., APM Project Management Qualification PMQ or PRINCE2 Practitioner). Lean Six Sigma qualification or Lean (Black Belt highly desirable). (Process Improvement Methodology – green minum) Proven track record of successfully driving change and improving business outcomes through a strong continuous improvement mindset. Demonstrated ability to develop and optimise business processes, applying Lean management principles for efficiency. Demonstrated history of achieving challenging targets, highlighting a results-driven approach. Proficient in IT systems, adept at automating work processes to enhance operational effectiveness. Leadership in business transformation. Capability in managing complex stakeholder requirements, navigating potential conflicts with skill and diplomacy. Fosters a positive team culture and actively promotes high performance within the team. Thrives in a fast-paced, dynamic environment, showcasing adaptability and resilience. Desirable knowledge of airport operations and environment, providing valuable context for the role. Desirable experience in developing, managing, or implementing an integrated capital project procedural framework, contributing to comprehensive expertise. Proven ability to lead company-wide implementations and maintenance of Quality Management Systems Standards, i.e. ISO9001:2015. Innovative thinking and adaptability, with a high degree of intellectual curiosity to understand our business.

Framework and boundaries

Within London Gatwick, the Construction Department comprises a series of programme and project teams, along with technical support functions. The Department is accountable for the delivery of the airport CIP of circa £1bn over 5 years, which encompasses projects across the airport campus. This role leads a small team including Process Improvement specialists, Document Control and departmental Administration. Stakeholder management internally up to and including airport executive management, externally up to and including airline management plus relationships with relevant key suppliers.
