Job summary

The role is working amongst a small team of business assistants withinthe Healthy Together service. Healthy Together is part of the Families, Youngpersons and Children's services delivering a 0-19 and 0-11 Health Visiting andSchool Nursing contract to the people of Leicester, Leicestershire and Rutlandrespectively.

We are looking for a hard working, adaptable and friendly individual whocan manage their own workload and offer full administrative support to theProfessional Leadership Team.

We offer a full training package, supporting you through the transitionto a new environment, with opportunity to learn and grow within the role andthe wider service.

This role requires a full UK driving license and use of a vehiclesuitable for work. Public transport is not suitable for this role.

Main duties of the job

The role itself is varied and requires you to problem solve on a daily basis, utilising your skills and knowledge gained throughout your life. The following points can give you an idea of the expectations of the role:

Creating agendas and disseminating information Minuting meetings on a face to face or MS Teams platform Managing E-mails and shared In boxes Managing sensitive and confidential personal information Creating Events, managing attendee lists and confirming room bookings, equipment and paraphernalia. Ordering Electrical equipment, PPE, leaflets, toy stocks and medical equipment for the service whilst managing an audit trail Formatting, creating and proofing documentation in Word, Excel and Visio to a high standard with excellent skills in flowcharts and pathways. Laminating, ordering and dispensing leaflets Managing spreadsheets and Databases with the ability to create formulas and maintain confidential and accurate records Data confidentiality. Excellent Communication Skills, with the ability to negotiate and work to tight deadlines

Qualifications

Essential

GCSE English Language Grade C (new Grade 4) or above. GCSE Maths Grade C (new Grade 4) or above. RQF (Previously NVQ) Business & Administration Level 3 or equivalent skills and knowledge City & Guilds Typewriting Level 2 or above, or can demonstrate equivalent skills.

Desirable

City & Guilds Audio transcription Level 3 or above, or can demonstrate equivalent skills.

Experience

Essential

Experience of communicating effectively via email, including implementing a flagging/prioritisation system for self and others. Experience of planning and organising training, meetings, appointments and events, including co-ordinating travel arrangements and guest speakers. Experience of taking minutes/notes of meetings, circulating documentation including identifying actions ensuring they are logged, prioritised, and are followed up. Experience of electronic diary management for self and others. Experience and knowledge of creating and formatting professional communications, such as letters, leaflets, presentations, reports and briefings to a high standard. Experience of receiving, recording and relaying complex information via the telephone. Experience of planning and prioritising own workload and that of others to ensure that deadlines and the demands of the service are met. Experience in the development and implementation of electronic or paper-based office systems, which are continually maintained and updated. Highly skilled in all areas of Microsoft Office, and can demonstrate good keyboard skills in terms of speed and accuracy. Experience of presenting complex data or statistical information in written format, such as Excel. Dealing with complaints or other emotive situations with sensitivity, diplomacy and confidentiality. Using own initiative to solve problems, including taking corrective actions. Experience of working to a standard which is compliant with policy, procedure or other quality framework. Experience of dealing with change in the workplace and adjusting own working practices to meet new requirements. Able to work under pressure and handle conflicting demands and interruptions. Ability to communicate effectively at all levels and build positive working relationships. Knowledge and experience of using modern communication technology. Commitment to Equality & Valuing Diversity Principles. Understanding of Confidentiality & Data Protection. Use of vehicle or public transport is a requirement to work at different sites within the Service. It may also be required that Trust vehicles are driven by the post holder to meet service need.

Desirable

Experience of ordering goods or services, monitoring progress of orders, checking receipt of goods or services to ensure invoices can be reconciled. Experience of transcribing information from either dictation or handwritten notes.
