Job summary

An opportunity has arisen to join our existing City Business Assistant Team with our Leicester City Healthy Together. There are two part time vacancies hours per week.

The successful applicant willprovide administration and secretarial support to Clinical Team Leaders withinthe service.

We provide comprehensiveadministrative and secretarial support to individuals, clinical teams orspecific service areas to harmonise efforts and specialisms of all disciplinesto achieve effective and efficient service provision.

You will deal confidentially andconfidently with complex patient and staff information and to provide supportand advice within the remit of the role, and escalating problems or concernswhere appropriate.

The role will be basedat Leicestershire County Council, Glenfield, but there may on occasions be a requirement totravel locally, therefore own transport is essential for this role.

Some hybrid working may beagreed, after initial training period.

Main duties of the job

Although training will be provided, it is expected that the successful applicant will be able to demonstrate the following skills/experience from the onset.

Experience of taking minutes/notes of meetings either by handwritten notes or dictation. Skilled in areas of Microsoft Office. There will be a requirement to create and work within excel databases. Ability to create and format professional documents such as letters to a high standard. Ability to build positive working relationships. Experience of planning and prioritising own workload. Able to work under pressure using own initiative to solve problems.

Experience

Essential

Highly skilled in all areas of Microsoft Office, and can demonstrate good keyboard skills in terms of speed and accuracy Skilled in Microsoft Excel. There will be a requirement to create and work within Excel databases. Experience of taking minutes/notes of meetings, circulating documentation including identifying actions ensuring they are logged, prioritised, and are followed up. Experience of communicating effectively via email, including implementing a flagging/prioritisation system for self and others. Experience and knowledge of creating and formatting professional communications, such as letters, leaflets, presentations, reports and briefings to a high standard. Ability to communicate effectively at all levels and build positive working relationships. Experience of planning and prioritising own workload. Experience of electronic diary management for self and others. Experience of using on initiative to solve problems. Experience of supporting change within the workplace or implementation of office systems.

Desirable

Experience of ordering goods or services, monitoring progress of orders, checking receipt of goods or services to ensure invoices can be reconciled.

Qualifications

Essential

Essential criteria GCSE English Language Grade C (new Grade 4) or above GCSE Maths Grade C (new Grade 4) or above.

Desirable

Desirable criteria City & Guilds Audio transcription Level 3 or above or can demonstrate equivalent skills.
