An exciting opportunity has arisen for a highly motivated individual tojoin the Provider Collaboratives Team as Project Support Officer.

Provider collaboratives are partnerships that bring togetherorganisations to work together to improve the care pathway for their localpopulation.

The successful, candidate will provide a full administrative support tothe Provider Collaboratives, and support a range of project work.

The applicant must be self-motivated, friendly with a flexible approachand have good verbal and written communication skills. They must have theability to coordinate and minute complex meetings, strong attention to detail,and excellent organizational skills.

Main duties of the job

Weare seeking to recruit an enthusiastic candidate, who is professional andapproachable and able to build positive working relationships partners acrossthe collaboratives.

Keyduties include scheduling and minuting complexProvider Collaborative meetings and events, preparing meeting agendasand distributing papers, following up actions to be taken, providing support toprojects including the West Yorkshire Adult Secure Single Point of Access., setting up and maintaining project documentation, producingdocuments/reports using Microsoft Office packages, and acting as firstpoint of contact for enquiries.

Thesuccessful candidate will have the ability to communicate effectively, work aspart of a team, use initiative and prioritise their workload, maintain andrecord accurate details and have excellent organisational skills.

Job description

Job responsibilities

Tobe responsible for providing day to day administration for the ProviderCollaboratives and a support service to projects within the ProviderCollaborative team, identifyingsolutions & resolving day-to-day project administration problems, acting asfirst point of contact for enquiries,supporting meetings and undertakingbasic facilitation. The role will maintainproject documentation, train newly appointed staff and supports others inproject tools and documentation.

Beresponsible for providing and coordinating a comprehensive support service to theProvider Collaborative and projects, including general administration, projectscheduling and basic facilitation using agreed service improvement tools andtechniques.

Utilisesignificant personal initiative to deal with issues on behalf of the ProviderCollaborative team and process matters arising on a daily basis, takingappropriate action to ensure urgent issues are dealt with appropriately.

Person Specification

Qualifications

Essential

Diploma level qualification or identifiable equivalent experience of project management.

Desirable

ECDL & Prince 2 practitioner.

Physical Attributes

Essential

Ability to undertake the duties and demands of the post. A satisfactory sickness record over the previous 2 years (subject to the need to act with fairness and equality of opportunity, particularly where the sickness is related to a disability and/or pregnancy).

Ability to work flexibly to meet the needs of the position. Ability to travel across the Trust as appropriate to the role.

Experience

Essential

Project Management support skills to include experience of providing project support to a busy project team. Experience of taking minutes and reproducing to accurate levels. Experience of data analysis & writing reports. Experience in the use of email and internet/intranet navigation. Experience of using Microsoft Project, Word, Excel, Access and PowerPoint

Desirable

Experience of using Microsoft Visio

Special Knowledge/Skills

Essential

Excellent interpersonal and communication skills (written and verbal). Excellent command of grammar/spelling/punctuation. Ability to work under pressure and prioritise own workload, often working to tight deadlines. Ability to use own initiative and work with minimal supervision. Ability to accept change. Ability to work methodically and with accuracy. Excellent organisational and planning skills.
