We are recruiting an Installation Contract Coordinator (Part-Time), 12-month Fixed Term Contract to join our team based in Whitley (DN14). The working pattern for this role will be Wednesday to Friday, 9am-5pm (a mix of office and remote work).

What will you be doing in this role?

The Installation Contract Coordinator plays a vital role in facilitating the successful execution of installation projects. This position involves providing effective back office support and coordinating activities between internal teams, clients, and subcontractors in relation to installation contracts. The Contract Coordinator serves as a central point of contact for all installation-related contractual matters and is responsible for maintaining effective communication and documentation throughout the project lifecycle.

The Ideal candidate:

You will have experience of working in a support capacity with a wide range of internal and external stakeholders.

Required skills and experience

  • Good verbal and written communication skills.
  • Proficiency in Microsoft Word, PDF and Excel.
  • Experience of working with ERP systems.
  • Knowledge of the Installation planning and implementation process and procedures.
  • Demonstrable organisational and office administrative skills.

Required competencies

  • Ability to manage a multitude of projects, prioritise and manage competing deadlines effectively
  • Ability to resolve problems
  • Detail-oriented with a focus on accuracy and compliance
  • Ability to work independently as well as collaboratively in a team environment.

Your day-to-day responsibilities will include:

  • In conjunction with the Contracts Manager, responsible for allocating a suitable contractor to the installation contract and issuing them with all relevant documentation.
  • Support Contracts Managers to solve problems and manage sites effectively.
  • Create, review and update contract information on the in-house ERP system including key delivery dates.
  • Allocate materials and schedule deliveries to the allocated contractor.
  • Liaise with the data management team for new part creation in relation to bespoke installations.
  • Responsible for the procurement of bespoke items and consumables.
  • Run and check shortage reports, escalating any issues to all relevant personnel.
  • Manage stock transfer between installer warehouses.
  • Arrange courier collection and delivery of kits.
  • Process variation orders in accordance with the variation procedure and issue revised documentation to associated contractors/suppliers.
  • Ensure supplier/contractor invoices are processed in a timely manner in line with the Company cycle.
  • Issue site-specific Operations and Maintenance manuals.
  • Organise the service acceptance test by field service (Commissioning).
  • Organise the return and replenishment of faulty/project stock in accordance with Company procedures.
  • Raise applications for payment to be sent to the customer for approval.
  • Raise sales contract invoices.
  • Support contract managers with invoicing queries.
  • Complete all project and sales contract activities to prepare a project for closure.
  • Perform any other administration tasks to ensure execution of a contract from start to finish.
