We are seeking a dedicated Installation Project Coordinator (Part-Time), Fixed Term Contract to enhance our team. This role involves a blend of office and remote work, focusing on effective project management.
Key Responsibilities:
- Collaborate with the Contracts Manager to assign suitable contractors for installation projects and provide them with necessary documentation.
- Assist Contracts Managers in troubleshooting and efficiently managing project sites.
- Maintain and update contract details within our ERP system, ensuring all key delivery dates are accurately recorded.
- Coordinate material allocation and schedule deliveries to contractors.
- Work with the data management team to create new parts for custom installations.
- Oversee the procurement of specialized items and consumables.
- Generate and review shortage reports, escalating issues to relevant stakeholders.
- Manage stock transfers between installation warehouses.
- Organize courier services for the collection and delivery of installation kits.
- Process variation orders in accordance with established procedures and issue updated documentation to contractors and suppliers.
- Ensure timely processing of supplier and contractor invoices in line with company policies.
- Prepare site-specific Operations and Maintenance manuals.
- Coordinate service acceptance tests conducted by field service teams.
- Manage the return and replenishment of defective project stock as per company guidelines.
- Prepare payment applications for customer approval.
- Generate sales contract invoices.
- Assist contract managers with any invoicing inquiries.
- Complete all necessary project and sales contract activities to facilitate project closure.
- Perform additional administrative tasks to ensure seamless contract execution from initiation to completion.
