KEY AREAS OF ACCOUNTABILITY



Training, facilitation, and event management support  Support the administration and delivery of capacity strengthening initiatives and events including managing and tracking participants recruiting, onboarding, follow up during training programs. Support the project leads in organising and rolling out the capacity strengthening initiatives and events, coordinating with Supply Chain team to ensure smooth preparations, and running of each event.  Responsible for the updating, preparation, production of recruitment and training resources and hand outs before and during the training events, travels.  Responsible for ensuring the necessary equipment and set up is available to participants and facilitators during capacity strengthening initiatives and events.  Supporting a wide range of training delivery and events roll out for online and in person onsite events, eg. with preparations, setting the scenes, welcoming guests, providing technological assistance, supporting onboarding and welcoming of participants and guests, managing consents and evaluation processes, photo documentations, catering management etc.

Monitoring, Evaluation and Communications 

Support the preparation of quarterly reports for the project donor  Liase with HLA comms teams to share updates, photos and outcomes to HLA’s wider audience (website, social media, reports, MEAL related work)  Creating MS forms and collecting data through surveys or assessments (eg. LNA, OCA, RNA) 

General administrative support 

Work closely with the HLA Regional Lead, HLA Eastern Europe team and the global HLA in the region and across strategic priority work, where necessary  Support set up and management of remote meeting and collaboration platforms, digital communication, and collaborations tools necessary for online training events, sessions, webinars, etc.  Provide support to participants and facilitators of trainings in terms of travel arrangements, visa applications, and liaising regarding programme logistics.  Support the draft of terms of references, requests for proposals and call for external services.  Support in maintaining the team’s platforms and data management  Assits the team with vetting and setting up partnership procedures in collaboration with the respective awards and Save the Children Ukraine Partnership team.  Drafting or consulting terms of references and other written documents withing HLA teams  Assist with other general administration tasks on an ad hoc basis as and when required 

Finance 

Support HLA Coordinator in Ukraine, Ukraine Operations and HLA Regional Lead in budget setting and forecasting.  Process finance transactions and maintain finance records for the team, working closely with colleagues in Save the Children Ukraine Finance team and budget holders.  Receive invoices and produce payment requests for finance team processing. 

Safeguarding 

Comply with and promote key Save the Children International policies on safeguarding and code of conduct 

The duties and responsibilities as set out above are not exhaustive and the role holder may be required to carry out additional duties relative to their level of skills and experience.

QUALIFICATIONS 

Academic qualification in administration planning and/or finance is recommended  Experience in events planning, administration, and logistical support  Experience setting up and maintaining administrative processes e.g. filing systems.

Essential Skills: 

Financial budgeting skills  Excellent interpersonal skills with experience liaising with stakeholders and working with people from a range of backgrounds and cultures.  Proven ability of successfully working with a remote project team  Excellent problem-solving skills, agile and flexible ways of working, a ‘can-do’ attitude  Ability to work on own initiative, cope with a high volume of work and prioritise against tight deadlines and under pressure  Excellent written and oral communication skills  Organised and methodical with good attention to detail  Good computer literacy in Microsoft Word, Outlook, Excel and PowerPoint 

Desirable 

Experience in training, group facilitation, and online/digital learning  Understanding of and commitment to humanitarian work and experience of working for a humanitarian/development focused NGO  Fluency in written and spoken English is strongly desirable
