We’re recruiting for an exceptional Housing Repairs Scheduling and Administration Manager to join our dynamic team at VIVID. This is a full time, permanent role working 37 hours per week.

The role is based in Basingstoke with some travel to Portsmouth. You’d be expected to work in the office 5 days a week when you start to enable you to build strong working relationships with your teams. When you are performing in the role, we’d offer flexibility in your work location, either the office or home and you’d be expected to work in the office 1 day a week, but this may change as business needs evolve in the future.

Here’s the facts about the role:

In this critical role, you’ll lead our responsive repairs and compliance planning teams, ensuring the smooth scheduling and completion of maintenance repairs tasks. You'll oversee the efficient allocation of resources, using our dynamic resource scheduling system to ensure high quality work is completed on time and to the highest standards, while delivering an excellent customer experience. 

The Housing Repairs Scheduling and Administration Manager will support our continued commitment to provide customers with safe and well-maintained homes we need someone that demonstrates leadership skills and expertise and ensures we deliver a high quality and consistently reliable service to all our customers. 

The Housing Repairs Scheduling and Administration Manager will ensure that performance meets or exceeds the standards and KPI’s agreed for safety, quality, and efficiency. Whilst also providing a solution focused point of escalation for complex enquiries. 

Key Responsibilities 

Oversee the end-to-end planning and coordination of all repair and maintenance activities, ensuring timely and cost-effective service delivery.  Develop and manage repair schedules, ensuring work is prioritised and completed within target timescales and health and safety guidelines.  Lead a strong team of planners and administrators, fostering a collaborative and high-performing environment.  Ensure seamless communication between contractors, customers, and internal teams, promoting transparency and customer satisfaction.  Implement efficient administrative processes and reporting mechanisms to track repairs, analyse performance, and provide insights to senior management.  Proactively address any issues or delays, finding practical solutions to ensure minimal disruption to services.  Maintain a focus on continuous improvement, seeking opportunities to enhance service delivery, operational efficiency, and customer experience. 

Qualifications and Experience 

Proven leadership experience in repair planning and administration within the housing sector.  Strong leadership and management skills, with a track record of leading successful teams.  Excellent organisational and communication skills, with the ability to manage multiple priorities and deadlines.  Ability to work collaboratively with various stakeholders, including contractors, customers, and internal teams.  Sound knowledge of property repairs, maintenance processes, and regulatory requirements.  A high level of proficiency in relevant IT systems (Dynamic Resource Scheduling) and data analysis to monitor and report on performance.
