MAINTENANCE MANAGER – ROLE DESCRIPTION

About us:

Adam Henson’s Cotswold Farm Park has been operating for 50 years and is one of the UK’s leading rural attractions. An excellent full-time opportunity has arisen for an experienced Maintenance Manager at our award-winning Farm Park.  

Overseeing all aspects of our site maintenance requirements, this role is packed with variety; you'll be involved in every team, providing reactive maintenance services and leading on work planning, event build and break, and PPM's.  No 2 days are ever the same

You will report to the General Manager, and provide services across all of our teams, from hospitality to events to agriculture. Your immediate team will consist of two experienced Maintenance Assistants, and you will also manage contractors and seasonal workers, and work with external suppliers.

Purpose:

The Maintenance Manager ensures that all aspects of the company’s buildings, structures and associated infrastructure are managed to an agreed standard. The Maintenance Team are a service department, providing maintenance services across the various enterprises and activities within the business. This is therefore a demanding role, requiring experience in managing multiple workstreams, prioritising workloads and communicating effectively with all stakeholders.

About the site:

We are a 150 acre site within a farm setting with a variety of facilities, infrastructure and equipment that requires routine, reactive and proactive maintenance to ensure that we maintain a high quality, sustainable and efficient environment for staff and customers.

The Maintenance Manager will be responsible for overseeing the maintenance and upkeep of the following, enlisting external or specialist help where necessary, whilst utilising our in-house resources in the most effective manner:

  • Farm Park Features - including play areas, signage, play equipment, toys, soft play, portable play equipment (electric and pedal tractors, go-karts, pulleys and chains)
  • Landscape Features - including trees, fencing, stone/concrete/tarmac tracks and paths, stone walls, mown and ‘wild’ grass and flower areas, animal shelters, bridges, signage.
  • Buildings – 6x holiday lodges, 7x glamping tents, 3x pods, ablutions block (washing/drying facilities, showers, toilets, family bathrooms), visitor centre incorporating offices, retail, bar, restaurant and catering facilities, kiosk units including offices, toilets, staff room, function barns, animal barns, play barns, animal shelters, 6x residential properties.
  • M&E – Water heaters and pumps, solar panels, HVAC, changing places facility with hoists and lifting facilities.
  • Infrastructure – including private water supply and treatment facilities/pump room, sewage treatment plant, 3 phase and single phase electrical distribution, fibre and CAT5 networking, soakaways, backup generator, foul drainage network, grease traps, gas and electric water boilers, CCTV, handwashing facilities.
  • Commercial Catering Facilities, including gas and electrical equipment, extraction systems, fridges and freezers, kiosk and mobile units, bar cellar and pump system, water heaters, coffee machines, rationale, gas friers, heat lamps, hot cupboards, commercial dishwashers. (Specialist servicing to be arranged externally)
  • Maintenance Equipment – groundcare equipment including mowers, strimmer’s and portable tools, hand tools, lifting equipment, groundworking tools.
  • Machinery and Vehicles – 2x 4x4 pickups, Avant telehandler, catering unit, UTV machines. (Servicing to be arranged externally)
  • General Equipment – wheelchair and electric buggys, electric golf buggy, marquees and stretch tents, commercial floor cleaners.
  • Events – temporary event infrastructure including (but not limited to) scaffold structures, marquees, shelters, frames/archways, signage backing/boarding, temporary electrical and water supplies, lighting, decorating, temporary customer facilities e.g. benches, bins, fences, parking etc.

Operational Responsibilities:

Hands on: This is a physically demanding role, working in an outdoor environment and covering a large physical area on foot. Regular manual handling will be required. Rounded practical skills and experience with routine maintenance tasks associated with the above facilities and assets will be required in order to fulfil the practical aspects of role.

Reactive Maintenance: Using an existing app-based reporting system, to organise reactive maintenance requests in order of priority. Effectively manage incoming jobs by organising team members and resources, communicating with relevant stakeholders and maintaining target turnaround times for work completion.

Planned Preventative Maintenance: Using an existing app-based system, organise planned preventative maintenance within your department. This will include daily, weekly, monthly and annual servicing and record keeping. To include reviewing and adjusting service schedules in line with legislation and equipment guidance, and training and coaching team members on effectively completing PPM’s.

Event Build and Break: Working with the Events Team, to plan, build and break all site events in line with the event requirements, ensuring work is scheduled in with sufficient time for completion. All events must be built and maintained to a high standard, the Maintenance Manager must be experienced in organising and planning multiple workstreams along with budget and stores management.

Managing Contractors: Working with external contractors to deliver one off or routine assistance as required. Price work using contractors to obtain a number of quotes/ methodologies and provide your recommendations to the General Manager for approval. Manage approved contractor schemes, including ensuring that contractor’s induction and RAMS are completed accordingly. Oversee contractors work, ensuring a job is delivered on target to the required standards.

Health and Safety: Working within existing systems, manage your department’s activities including Risk Assessments, Method Statements, Safe Systems of Working, Staff Training, Appropriate use of PPE, Machinery and Equipment Induction and Training.

Stores and Stock Management: Management of workshop and storage areas to ensure effective and efficient operational and stock management/access use. Stock level management including ordering of items including materials, chemicals, equipment and fuel.

 Staff Management Responsibilities

  • Line manage team members, setting performance targets in line with business objectives, implementing development plans including coaching/training programs, rota and holiday planning, sickness and absence management.
  • Oversee the work and standards of team members on an on-going basis and provide the required coaching/training, working with and alongside staff as required.
  • Ensure a 7 day Maintenance Duty cover is provided for the Cotswold Farm Park, and ensure that appointed /maintenance Duty staff are appropriately trained and equipped to deal with issues as they arise.
  • Ensure an appropriate handover system is in place so that team members are working to a plan, and other managers on site are also aware of the status of work requests.

Financial Responsibilities

  • Managing the Maintenance budget, including preparation of annual expenditure and labour budget for approval, and providing costings for other department managers – for example, Events.
  • Managing labour allocation in line with labour and sub-contractor budget
  • Plan and manage expenditure to ensure budget compliance.
  • Manage service arrangements with providers for installed equipment, ensuring that contractors and suppliers SLA (Service Level Agreements) and pricing levels are agreed competitively.
  • Price reviews and arrangements with regular suppliers, utilising regular price comparison exercises to ensure best value is achieved.

Skills and Experience Required:

Essential

  • 5 years’ experience of practical building and grounds maintenance work
  • A minimum of 3 years’ experience of managing teams
  • Proven budget management experience
  • Experienced in troubleshooting to deliver practical, well thought out solutions
  • Procurement experience including achieving best value and reducing costs
  • Microsoft Office suite including Outlook, Excel and Word
  • Comfortable using Apps and digital software systems

Desirable

  • Experience in a customer facing environment
  • Knowledge of Health and Safety legislation

Contract Requirements

This is a full time, permanent position. The contract of employment will include a 3 month probationary period from the commencement of the role. Working hours are typically between 8am and 5pm with flexibility required during busy periods. The qorking pattern is 5 days per week, cover will be required for weekend days and bank holidays during the open season on a rota basis. Time off in lieu will be given.
