Job summary

Sandwich Medical Practice is looking to recruit an Administrator/ Medical Secretary to join or friendly team for 25 hours per week. Hours can be flexible to suit the right candidate. Salary depending on experience.

The role is varied and challenging and the candidate must be able to adapt to the demands of a busy practice. Excellent communication skills are essential, as is the ability to work under pressure and as part of a team.

Experience in working in a healthcare setting would be preferable, although training will be given to the right candidate.

Main duties of the job

The Administrator/Medical Secretary is primarily responsible for supporting the GPs and Practice Manager by helping to ensure the smooth and efficient running of the practice.

We are based in the medieval town of Sandwich.

We provide a high standard of care to our 13,000 patients. Our practice team comprises of 3 GP Partners, five salaried GPs and a supportive management, nursing and administrative team.

Job responsibilities

This is a pivotal role within the organisation. In addition to liaising and communicatingwith all associated professionals, individuals and organisations, a soundprofessional working relationship will be required with the GPs and staffworking within the Practice.

A pleasant disposition and approachable manner are keyattributes, together with sound communicative and interpersonal skills. The post requires the ability to exercisetact and discretion, and to use initiative. The ability to work under pressure and as part of a team is equallyimportant.

The Administrator/Medical Secretary will provide flexibility in the rangeof tasks they perform. They will be ableto prioritise their work and to meet deadlines.

Applicantsshould be aware that because of the sensitive nature of the informationhandled, total confidentiality and discretion is an absolute requirement. All staff are bound by the Practice Code ofConfidentiality.

MAIN DUTIES AND RESPONSIBILITIES

1. SecretarialDuties

Open, stamp and distribute mail. Organise secondary care appointments for patients. Generate electronic referrals, and send appointment details to patients. Submit letters electronically, with relevant results and attachments. Email rapid access referrals, and other routine referrals or appointments where applicable. Deal with patient enquiries and queries regarding appointments. Type referral letters using Lexacom dictation software. Deal with EMIS tasks from GPs. Deal with Docman workflow tasks. Prioritise work to ensure letters are typed and sent in a timely manner. Type, copy and file medical reports. Photocopying as required. Deal with daily post. Monitor stationery supplies. Ensure up-to-date and accurate information kept, including private providers. Ensure adequate supply of referral forms available for GP use. Keep up-to-date with shredding all waste confidential information. Deal with queries/requests from GPs. Provide holiday/sick leave cover, as required.

2. AdministrativeDuties

Support the practice team in the day-to-day functions of the surgery. Any other delegated duties considered appropriate to the position and necessary for the smooth and efficient operation of the practice.

To keep up-to-date with the policies and procedures of the practice as detailed in the Staff Handbook. Person Specification

Qualifications

GCSE level C or above in English and Maths
