Appointment Officer Supervisor, Band 4- Radiology (30 hours a week)

We have an exciting opportunity for a appointments supervisor in a busy forward-thinking Radiology department. We have recently opened one of the region's first NHS led Community Diagnostic Centres, and continue to be a thriving large hospital trust, spanning multiple sites.

The post holder will be responsible for ensuring diary capacity is maximised on a daily basis across all sites delivering Radiology activity, in line with DM01 and all other diagnostic pathways including cancer.

Providing day-to-day supervision of a team of appointment officers, offering essential support to ensure a high quality, efficient and responsive bookings service. This will be across all sites.

To work in conjunction with the General Manager and Assistant General Manager to develop staff ensuring the highest quality of service is maintained at all times in line with local and national objectives.

Main duties of the job

- Ensuring diary capacity across all Radiology-led activity is maximised in line with DM01 and all other diagnostic pathways

- To work in conjunction with the General manager and Assistant General Manager to lead and develop the bookings team ensuring the highest quality of service is provided at all times in line with the local and national objectives.

- Responsibility for the day-to-day operational management of the appointments team and bookings processes, within the agreed performance and efficiency targets

- To adopt a constantly flexible approach to ensure that all individual and team objectives are completed efficiently and within given timescales.

- To maintain confidentiality at all times.

Job description

Job responsibilities

- To deliver Administration & Clerical targets efficiently to maintain the set up and changes to workloads within the agreed performance and targets.

- To help the GM and Radiographic Management Team to deliver Radiology appointments efficiency projects and maintain data and efficiency through regular meetings with all the staff or directorates concerned.

- To review regular audits and surveys related to performance management, as required

- Direct line management duties relating to recruitment, performance management, sickness management, completion of Health Roster, appraisal and development of staff within specific areas of the Division.

- To assist the GM and Radiographic Management Team in providing frontline day to day management of Radiology appointments administration issues for the department, liaising with the relevant staff and specialties as required. To ensure that appropriate management systems are in place to provide accurate validated data quality. Providing advice, support, leadership and decision making for daily issues within these areas.

- Assist the GM and Radiographic Management Team in the monitoring of appointment capacity and demand to ensure the directorate capacity is maximised.

- To assist the GM and Radiographic Management Team in the delivery of any associated work to support the productivity of Radiology and associated areas

- May involve analysis of complex and conflicting data from multiple sources. To support The GM and Radiographic Management Team and monitor the team to achieve this.

- To partake in CRIS or Trak Care pathway or process changes/design required.

- Where necessary, support line management duties or deputise in the absence of colleagues relating to recruitment, performance management, appraisal and development of staff within specific areas of the Directorate.

- Where necessary support and deputise for colleagues in the Department.

- To use verbal and non-verbal communication skills to communicate service-related information and proposals to a wide range of personnel. This will involve issues, which may be contentious, and conflict with expectations of medical and administration staff and require sensitivity. This will involve negotiation, persuasion, and education in order to gain co-operation, as there may be significant barriers to change

- To carry out other duties as required from time to time as directed by the Management Team

- Comply with Trust and Departmental policies and procedures Health and Safety at Work Act (1974), Manual Handling, Data Protection Acts and patient confidentiality at all times. This will include demonstrating compliance with the terms of all safeguarding policies and processes relevant to the safeguarding of adults and children in the care of GHNHSFT and to undergo regular mandatory training concerned with safeguarding matters.

- In conjunction with their manager, identify training needs of self, participating in clinical audit and quality projects which contribute to the departmental education programme.

- Lead and motivate the appointments team to achieve their fullest potential

- Undertake a continuing training needs analysis of the appointments team, and arrange education and training in line with departmental SOPs and process

- Assist lead staff in investigating incidents as required.

- Provide leadership qualities that enhance team-working

- Ensure a smart, professional image that enhances the public perception of the Trust and the professionalism of its staff is portrayed.

- Deputise for the Assistant General Manager as required

- To undertake any training required in order to maintain competency including Mandatory training , Manual handling

- Working to deadlines, ensuring they are met and work is produced to a high-quality standard.

- To contribute to and work within a safe working environment.

- Dealing effectively with busy and sometimes complex situations

- Concentration is required for a high proportion of the time especially when entering details onto the system.

- Appropriate years NHS experience, preferably within an NHS including experience of Radiology Appointments, CRIS or the Trak Care patient system.

- Well-developed interpersonal, communication, negotiating and influencing skills demonstrated through experience of working in complex demanding systems and environment

- Self-motivated to find ways of solving and pre-empting problems

- Effective leadership and people management skills

- Ability to analyse performance data to identify areas for improvement

- Proficient in the use of MS Word, Excel, PowerPoint, Access

- Proficient in the use of Internet and E-mail
