THIS POST IS A SECONDMENT FOR 9 MONTHS DUE TO MEETING THE NEEDS OF THE SERVICE.

The post holder will provide comprehensive business and confidential administrative and corporate support to the Education and Training team within the Welsh Ambulance Services NHS Trust. This is a key role to ensure efficient and effective support to the Education and Training team which includes preparing monthly/quarterly reports, overseeing business developments, providing high level support to projects, and undertaking specific administrative tasks.

The post holder will co-ordinate the administrative function, ensuring comprehensive administration. The post holder will also support the development and implementation of a range of projects within the Education and Training team, which will impact upon the whole organisation.

The ability to speak Welsh is desirable for this post; Welsh and/or English speakers are equally welcome to apply.

Secondment until 31st March 2025.

Main duties of the job

Arrange and support meetings on behalf of the Team including the taking and transcribing of notes, minutes and action points as required and follow up on actions with individuals across the Service and with other key stakeholders to ensure compliance.

Update project and work stream plans including the allocation and re-allocation of tasks to the team where the co-ordination of activities has to be done with multiple other professionals including external suppliers, partners, programme management, senior teams across all Directorates within the organisation.

Assist with the compilation of highlight reports, work stream reports, programme reports and directorate reports.

Person specificationQualifications and/or KnowledgeEssential criteria
  • HNC/Diploma in an administrative or project management related subject or proved level of experience
  • Good working knowledge and experience in the management of business, secretarial and office procedures.
  • Experience and knowledge in the use of MS Office Suite. Experience in the management and maintenance of information systems.
  • Demonstrable proven organisational and time management skills
Desirable criteria
  • Professional qualification –degree level or equivalent.
  • Project management qualification and/or knowledge of project management techniques
ExperienceEssential criteria
  • Demonstrable experience in an administrative role.
  • Experience of project support work.
  • Experience of communicating at all levels.
  • Experience of dealing with confidential and sensitive data and appropriate maintenance and storage of records
