The Office Manager Assistant will work closely with the Office Managers and Practice Management (Compliance) team to ensure the smooth running of the administrative staff and operations within their team. This position involves providing essential support and assistance to the Office Managers in maintaining efficient administrative functions and processes.

The Office Manager assistant will perform administrative tasks to support daily business operations and help to assist the management team in ensuring the Practice is CQC Compliant as well as hitting core targets and administrative thresholds. They will handle responsibilities such as answering phone calls during peak hours/influxes, support with the managing of deadlines, meetings, audits, training, on-boarding, rotas etc.

The Office Manager Assistant will have exemplary organisation and planning skills to be able to support the Office Managers in the success of the team.

Main duties of the job

The following are the core responsibilities of the Office Manager Assistant. There may be, on occasion, a requirement to carry out other tasks. This will be dependent upon factors such as workload and staffing levels:

Directly report to the Office Managers and follow their guidance/instructions of the support required within the administration teams Support the Office Managers with the allocation of admin rotas, monitoring annual leave and highlighting areas where additional cover is required Support with the management of the administrative figures ensuring they are staying within the allocated thresholds for each area and putting measures in place should the thresholds exceed Assist with the telephone lines during peak hours of the Practice and when demand increases during periods of influx Support with cover of the reception areas in the shortage of administration staff / peak hours Assist with facilitating efficient administrative operations with guidance from the Office managers/Practice Manager. Support improvements to increase efficiency with in the team including the planning and support of training and continuous development of staff Support the Office Managers with reports, meetings, agendas, minutes, audits Support the Office Managers with incidents, significant events and complaints. Assist with the on boarding process for new staff within the administration team such as the induction packs and protocols.

We are a training practice for Foundation doctors and GP trainees, with 30,000 patients, 33 consulting rooms, 2 operating suites and a private suite. We also have a training academy, daily training huddles, clinical meetings, an active PCN. A branch surgery and separate open access mental health hub in the Foundry, both located in the towns main shopping centre.
