Its perfectly suited for individuals who excel in fast-paced settings and possess the agility to convert inquiries into bookings.

Role Overview:

As the first point of contact, youll embody our clinics values, offering a warm and efficient welcome to all our patients and visitors. Stationed at our Paddington location, youll juggle front desk duties with managing a high volume of calls, scheduling appointments across multiple clinics, and maximising opportunities to turn queries into confirmed bookings. Additionally, you will receive, assist, and direct patients in accessing the appropriate service or healthcare professional in a courteous, efficient, and effective way. Provide general assistance to the Practice team and project a positive and friendly image to patients and other visitors, either in person or via the telephone. To provide efficient, helpful, informative, and supportive reception and administration services to patients and members of the primary healthcare team.

Key Responsibilities:

  • Extend a warm, engaging welcome to patients and visitors, ensuring a stellar first impression.
  • Ensure an effective and efficient reception service is provided to patients and any other visitors to the Practice.
  • Deal with all general enquiries, explain procedures and make new and follow-up appointments.
  • Using your own judgement and communication skills, ensure that patients with no prior appointment but who need urgent consultation are seen in a logical and non-disruptive manner.
  • Explain Practice arrangements and formal requirements to new patients and those seeking temporary cover, ensuring procedures are completed.
  • Receive and make telephone calls as required. Divert calls and take messages, ensuring accuracy of detail and prompt, appropriate delivery.
  • Take action on clinicians requests for further information / patient contact information etc., ensuring completion of all associated paperwork.
  • Advise patients of relevant charges for private (non-General Medical Services) services, accept payment, and issue receipts for the same.
  • Enter patient information onto the computer as required.

The Ideal Candidate:

  • Boasts superb customer service skills, complemented by a friendly and professional demeanour.
  • Possesses a strong sales orientation, with proven experience in converting calls to bookings.
  • Exhibits excellent organisational skills and the capacity to manage multiple tasks simultaneously.
  • Communicates effectively, both verbally and in writing.
  • Demonstrates proficiency in computer systems and office software.
  • Works independently, efficiently handling various responsibilities.
  • Prior experience in reception, front-of-house, sales, call centre roles, or in positions requiring high interaction with customers is highly advantageous.
