Job Purpose Summary

The role of NatureScot’s Executive Office is to provide operational support to the Board, Chair, Chief Executive and Senior Leadership Team in the development and delivery of the organisation’s corporate plan, effective external stakeholder engagement, correct governance and liaison with Scottish Government.

The Executive Support will provide administrative support relating to the Board, Committees and Senior Leadership Team, in a fast paced and dynamic working environment. This will be achieved through working on a broad range of routine activities within well established procedures and under regular supervision or following clear guidance.

Roles at this grade will typically work as part of a team to provide administrative or procedural support through working on a broad range of routine activities within well established procedures and under regular supervision or clear guidance. The range of tasks can be varied and will therefore require some understanding of office routines. As a consequence, some planning and organising of own workload is required to ensure that workflow is maintained. The nature of planning and organising in roles at this grade is essentially around timing and sequencing of assigned tasks, i.e. working out the most effective way in which to carry out particular tasks or make sure the deadline is met.

General Areas of Responsibilities

Receive and respond to enquiries from / to customers to provide a timely, courteous, and effective service to others. Prepare documentation / information following standard formal / templates or running and reading reports. Make routine arrangements and bookings, such as meetings and hospitality, in accordance with clear instructions, involving the preparation and organisation of straightforward information, along with note / action taking as and when required.  Responsible for the day-to-day operation of systems and equipment necessary for the successful completion of all assigned tasks.  Some planning and organisation of workload is required to ensure delegated tasks is maintained; however, the nature of planning is essentially about timing and sequencing of the assigned tasks, along with flexibility.  Use discretion to identify and resolve issues, referring to the line manager for assistance, as necessary.

Generic Role Requirements

Demonstrate the competencies required to undertake the main areas of responsibilities associated with this role gained through working in a similar role OR a qualification equivalent to standard grades in English and Mathematics and some experience of working in a similar role. Demonstrate accuracy with both numeracy and literacy skills. Written and verbal communication skills. Working knowledge of relevant systems, equipment, processes, and procedures including standard software packages, with limited use of non-standard software. Effective planning, organising, and prioritising and familiarity with own priorities and those of colleagues. Understanding of policies and procedures relevant to this role.  Understanding of health and safety policies and procedures relevant to this role, and the quality outputs and standards required.  Demonstrate customer service / interpersonal / team working skills.  Any other reasonable task assigned.

Specific Role Requirements

Support to the Governance Support Manager by providing the coordination and administration of meetings, including for Board, Committees and Senior Leadership Team, and other business. Including formal minutes and action point recording. Managing information and data through the electronic records management system, including preparing electronic meeting packs. Prepare and / or editing documentation following standard format and/or templates. Make routine arrangements and bookings, such as meetings and travel arrangements (including holding and use of a Government Procurement Card), in accordance with clear instructions.  Receive and respond to enquiries from / to customers to provide a timely, courteous and effective service to others, including from a group mailbox.  Support the Head of External Affairs in day-to-day logistical requirements and diary/email management. Coordinate responses to external enquiries using the Casework Management System, tracking each stage of the case and ensuring that responses are sent within deadlines. Manage applications for Foreign Travel in accordance with written process. Monitor departmental budget and report monthly to the budget holder, making adjustments as necessary. Undertaking the role of Records Liaison Officer for the Executive Office, ensuring that appropriate housekeeping and organisation of electronic records are in line with organisational requirements. Undertake the role of Health, Safety and Wellbeing Coordinator for the Executive Office, ensuring that quarterly team conversations take place and that they are recorded appropriately. Use discretion to identify and resolve issues, referring to the line manager for assistance, as necessary. Responsible for the day-to-day operation of systems and equipment necessary for the successful completion of all assigned tasks. Provide cover for colleagues when required and remain flexible and adaptable to changing tasks and priorities. Undertake any other duties commensurate with the grade as required.

Essential Skills

Ability to plan, organise and prioritise workloads, being familiar with own priorities and having an awareness of those of colleagues. Good communication skills – both written and verbal. Experience of using electronic records and document management systems, email, Word, Excel, and MS Teams. Experience of taking formal minutes and action points for meetings. An understanding of procurement processes and experience of dealing with financial transactions. A keen interest in Scotland’s natural environment.
