Ifso, we are looking for a part time (20 hours) clinical administrator who has a key focuson completing referrals and coding medical records. The days and times of work for this post are negotiable.

Thisis a varied and interesting role and you'll be joining a friendly, supportiveand hardworking team who prides themselves on providing an excellent customerservice to our patients. You will engage with patients, doctors, nurses and other allied health professionals.

Wewould love to find someone who is great with people, has excellentcommunication skills, a cheerful disposition, and a friendly, caringpersonality. Good IT skills are a must.

Previoussecretarial experience would be an advantage, though not essential as fulltraining will be provided.

Main duties of the job

To receive incoming and initiate outgoing telephone calls in order to facilitate timely and appropriate communications with others, taking messages and dealing with appropriate queries. To type and send referral and other clinical letters/forms within the designated timeframe, ensuring referrals have been sent accurately and in a timely manner. Organising 2WW referrals through the e-Referral system and checking they have been attended, reporting any DNAs to the referring GP or their deputy. Monitor hospital referral letters via the e-Referral system. Resolve referral queries by liaising with RSS (Referral Support Service) and clinical providers. To undertake secretarial tasks. Process and distribute incoming (and outgoing) mail To code patient medical records and enter data onto the practice computer system in accordance with practice procedures, recognising any chronic illness or diseases and bringing to the attention of our clinic staff any patients with any such illness/disease. Clinical coding and filing of hospital/clinic letters into our clinical system, taking actions where necessary. To provide cover for members of the admin team during periods of sickness and annual leave. Any other duties to facilitate the smooth running of the department. Attend and participate in practice meetings as required.

Job responsibilities

To work with the Partnership in the delivery of PMS to the practice population by being responsible for the delivery of considerate and competent standards of medical assessments or advice to patients in order to deliver effective, safe and beneficial care according to the practice protocols, local guidelines and any other national service frameworks or guidance; Offer opportunistic health advice patients on general health and in particular on the significance of diet, exercise, smoking, consumption of alcohol and misuse of drugs or solvents; and develop innovative approaches to delivery of health promotion; To undertake surgery and telephone consultations, answer queries, visit patients at home, check and sign repeat prescriptions and deal with related paperwork and correspondence in a timely fashion; To perform agreed medical services as the Practice determines to assist in achieving national and local targets for example the Quality and Outcomes Framework and such Directed, National and Local Enhanced Services as the Practice shall, from time to time, be contracted to participate in; Offer consultations and where appropriate physical examination to identify and reduce risk to patient health and to motivate behavioural or circumstantial change to promote health; To provide maternity medical services, child health development services and contraceptive services where qualified to do so; To prescribe in accordance with the Practice prescribing formulary whenever clinically appropriate; Undertake to effectively use all IT systems, and make every effort to adequately record, clearly and contemporaneously, all patient contacts on the clinical system (EMIS Web) using appropriate codes and templates; Where appropriate to refer patients for specialist advice and treatment to other team members, to other providers of health services, partner organisations and secondary medical services, and facilitate access to these services; To develop a continuing professional development plan, ensuring that you maintain a satisfactory level of training, in line with both the post holders personal needs and the needs of the Practice including participation in any clinical audit that my be required; To work to support the development of the Practice initiating change and supporting others to work in new ways; Attend and participate in all relevant practice meetings as required; Person Specification
