Job summary

North Tyneside Therapies Service is seeking to appoint an enthusiastic and motivated Administrative Assistant to provide a wide range of clerical support to our team. Applicants should have previous experience of working in a fast paced office environment and obtain excellent communication skills. Applicants will be exposed to sensitive and sometimes distressing information where resilience is needed.

You will need to have the ability to prioritise your workload, maintain flexibility in the workplace and respond quickly to urgent queries from a variety of staff and patients.

Excellent word processing and IT skills are required and applicants should be competent in using a range of MS office packages.

The hours for the post are Wednesday and Thursday 9am - 5pm however the post holder must be willing to work flexible hours (and cover an evening clinic on a rotational basis up to on a Wednesday or Thursday evening. Where their hours for those days would be - and be willing to travel to any base within North Tyneside.

Main duties of the job

The post holder will deal efficiently and effectively with telephone enquiries from patients and healthcare professionals, ensuring accurate and timely recording and passing-on of messages and redirecting callers as appropriate. To provide assistance with general enquiries to telephone and face to face callers.Collection /input of statistical information utilizing IT systems to support service development and audit. Contribute to review, redesign, implementation and evaluation of administrative systems and processes.Maintain an electronic diary of room bookings. Maintain filing systems, manual and computerised and assist in the retrieval of required information/files as appropriate.Receive and record messages for staff bringing to the attention of the Senior Team or other staff members as in the sorting and distribution of incoming and outgoing mail.Maintain accurate records of incoming and outgoing goods and services, as delegated. Distribute reports, minutes, etc as entry onto local Data base and excel spreadsheets. Data entry onto patient computerised record. Support the Administrative staff to maintain stationery supplies and equipment stock control system for the Service.Scanning of patient records onto computerised system. Work within Policies and Procedures at all times.

Attend relevant mandatory training.
