Essential Functions/Major Responsibilities

Assist team (Moving) with administrative tasks, such as, but not limited to:

Provide support to Moving Consultants in coordinating and facilitating global relocation benefits to our customers. Ensure client records on company computer systems are accurate and entered in a timely manner. Supports data integrity and service goals by helping manage key relocation related information in company computer systems, related to assignee, and other stakeholders in the assignment lifecycle to include but not limited to building and maintaining files, invoicing in within agreed time frames, sending out moving related packages and materials, ensuring data integrity, including uploading of key documents are always kept up to date. Ensure appropriate parties receive all relevant documentation in a timely and polite manner and keep them fully informed of all relevant aspects of the move. Provides back-up support to Moving Consultants in fielding calls and directing stakeholders to the correct consultant/team/department. Oversee completion and submission of reports. Back-office support with booking services with various suppliers (i.e. freight bookings, shipping documentation, required export processes, local parking services, crate ordering, updating storage records and storage movements). Reviewing Transit Cover documents and identify under-valuations. Assist with organising company events. Building and maintaining relationships with local and global providers when necessary. Project work (i.e. carrying out research on behalf of the team).

Specific Job Skills 

Excellent verbal and written communication skills Highly customer service oriented. Ability to multitask and organize workflow to meet deadlines and prioritize work. Demonstrate a global mindset, multicultural awareness, and ability to work and collaborate across cultures, with excellent geographical and global awareness. Computer proficient and comfortable in learning customized software necessary for the specialized tasks related to relocation activity. Teamwork and interpersonal skills required. Demonstrates a willingness to improve job-related skills, responding to direction and constructive feedback in a positive and professional manner. Attends and actively participates in all team and/or other meetings and training sessions as deemed appropriate. Develops and maintains a positive and professional working relationship with all members of the team and service partners. Accepts additional job assignments and participates in project work as requested. Adheres to all company policies and procedures as outlined in the employee manual and Policy and Procedures manual.
