This is no ordinary role. The pace is fast. There’s lots of variety. And you’ll need to be able to build strong relationships with our internal stakeholders and managers across the Care Tech Fostering Brands, your role will involve supporting the operational team, managing the administration for the team which will include, general admin duties, welcoming visitors and running the daily duties of the office.

You will report to the Registered Manager, working hand in hand with our wider operational team as well as Foster parents.

Responsibilities

  • To provide professional supervision to the Administration Team within agency timescales namely fortnightly supervision to staff under three months, and monthly supervision to staff over three months
  • To complete and partake in robust annual appraisals of staff.
  • To facilitate regular team-meetings and staff development for the Administration team.
  • To ensure new staff have comprehensive induction programmes and that statutory checks and references are completed and updated on the Administration Team.
  • To monitor the files and quality of the work as part of supervision and to complete regular audits on the files to ensure that the quality of work produced by staff is of a high standard.
  • To discuss with the Head of Service any concerns regarding the quality of the work and ensure that action is taken to improve the quality of work, where indicated.
  • To oversee monitoring reports such as the quarterly monitoring reports to Ofsted as appropriate.
  • To liaise in a professional manner with Local Authorities and external professionals to ensure that the agency is projected in a positive manner.
  • To manage the recruitment process by supervising the application process from the initial to panel stage.
  • To ensure and maintain the Fostering Network and BAAF membership administration.
  • To ensure that Health and Safety measures are in place, that inspections are carried out monthly and that any concerns are raised with the Head of Service.
  • To ensure that files on foster carer, Young Persons and Practice matters such as Policies & Procedures, Training, Ofsted and other files are up to date and of a high standard.
  • To be aware of budgetary requirements and put in place and maintain spreadsheets collating all expenses such as staff expenses, invoices, utility bills and office expenditure. Also working closely with finance.
