Overview of role

A vacancy has arisen for a highly organised and analytical individual to support the Group HR COO and Deputy HR COO. The HR department is broadly split into 8 areas: Compensation, Recruitment, Learning & Development, HR Systems, Payroll, Pensions & Benefits, HR Generalists and a newly created HR COO team. The HR department has over 100 employees with the majority based in London and Paris. This role is London based but will require the candidate to work across geographies, bringing greater alignment and consistency, where appropriate.

This role sits in the new HR COO team, supporting the HR COO and Deputy HR COO to optimise the operational efficiency of the HR function and ensure seamless execution of HR processes and procedures, adherence to Group Policies and timely communication of relevant information to employees (within and outside the HR Department).

Key responsibilities

Supporting the HR COO team to identify and execute process improvements and bring greater alignment across the global HR network.

Fostering a culture of communication and knowledge sharing across the department through formal and informal communication channels, ensuring key messages are filtered down from management, and best practice is more proactively shared across teams and geographies. Example will include the creation of an HR communications calendar, HR ‘hub’, coordination of regular verbal / written comms.

Overseeing the updating of the documentation of robust HR procedures across teams, providing guidance and challenge where appropriate.

Coordination of the maintenance and update of HR’s employee-facing intranet pages including running a quarterly reminder process, providing creative and content support to HR colleagues, and coordinating with the Digital team on any required changes.

Supporting the Deputy HR COO in their capacity as Secretary to the Global HR Committee (which meets every other month) ensuring meeting materials are prepared and action points are taken forward efficiently.

Creation of presentations for Group HR Director and HR Management team (including for boards/committees)

Liaising with and supporting with coordination of responses to Group Risk, Internal Audit and other Support divisions in respect of regular reporting and testing obligations as well as supporting the HR COO team to identify common issues (and solutions) impacting the Group HR function.

Responsible for the dissemination of new / amended Group Policies to HR teams, for example Data Protection Policies, Anti Bribery & Corruption Policies, and working with the relevant SMEs (e.g. Compliance / Legal) to ensure communications are tailored and appropriate for an HR audience.

Supporting the COO team with cross-divisional HR projects

Technical Skills, Competencies and other requirements specific to the role

Strong IT skills to include advanced Excel, Powerpoint and Word

The highest levels of professional and personal integrity

Understands the need for discretion

Experience and Qualifications

Bachelor’s Degree and 3 to 5 years’ HR experience

Knowledge of/experience in the financial services industry preferable

French not essential, but advantageous
