Job summary

Personal Assistant to the UHL Services in the Community Hospitals (formerly known as Alliance) Managers and the Operational team.

We are looking for an enthusiastic and well organised individual to provide a comprehensive administrative service to the Alliance senior team.

This is a full time role per week , Monday to Friday, core office hours.

Main duties of the job

To provide a confidential, flexible and fully comprehensive secretarial and administrative service to the Senior Management Team (SMT) as required.

To liaise with hospital departments, partner organisations (including UHL, LPT, PCL and the CCGs) and external agencies to promote and facilitate smooth working relationships.

To assist in the organisation of diary and workload management.

Job description

Job responsibilities

To act as the first point of contact for the Senior Management Team and making appropriate appointments, diary commitments and organisation of time to ensure availability and workspace.

To provide efficient, effective and confidential administrative and secretarial support to the SMT.

To organize meetings, provide agendas, take and accurately type up minutes and distribute all relevant papers to attendees in a timely manner.

To contribute to effective communication within the multidisciplinary team, receiving regular team updates and information for effective day to day running of the Team.

To receive and deal effectively with all incoming post, telephone calls, e-mails, personal enquiries and visitors to the department using own initiative to assessurgency, prioritising and taking actions as appropriate, referring callers to the appropriate individuals, departments or hospitals.

To liaise with the print room to design and produce leaflets, forms and posters to be used in the UHL Community Hospital sites.

To carry out DSE assessments as required for the team.

To meet targets agreed within annual appraisal and objectives, demonstrating an ability to manage workload and meet targets and taking responsibility for undertaking own mandatory and statutory training and updates as required.

Person Specification

Training and qualifications

Essential

GCSE English and maths Grade C or above or equivalent Good standard of written and spoken English RSA Level II Typing & Word Processing or equivalent

Desirable

RSA III Business Administration or equivalent/ RSA Audio Typing level II or equivalent

Communication and relationship skills

Essential

Demonstrates good communications skills, written and oral Demonstrates clearly understood interpersonal skills Evidence of having worked effectively within a team

Experience

Computer skills - Experience in using Microsoft Packages 2 years' experience and knowledge of standard office practices, procedures and protocols Customer service skills Demonstrates flexible approach to working requests
