Here at East Lancs, we provide a 7 day Endoscopy service and as such the post holder will work as part of a wider team on a rota basis. The post holder will be responsible for the management and accurate and timely administration of waiting lists in accordance with the Access, Booking and Choice Policy, liaising directly with clinicians, nurses, administrators, directorate staff and patients, whilst ensuring waiting list targets are achieved and confidentiality is met at all times.
Main duties of the job
- Each clerk is responsible for the management of Endoscopy waiting lists and working as part of a team within the particular speciality.
- Add selected patients to the waiting list using the computerised Patient Administration System, ensuring all patients are listed with the accurate procedure and booked admission codes.
- To be the first point of contact for all patients added to an inpatient, day case and selected out- patient waiting list.
- Negotiate a mutually convenient admission date with the patient whilst taking into consideration clinical priority, availability of anesthetists and the constrictions of the Access Booking Targets and enter the information onto the Patient Administration System.
- A good understanding of time frames involved in all invasive procedures is necessary to ensure the case mix booked for theatre lists is appropriate, once training is complete.

The endoscopy booking team is a growing team who are responsible for booking patients referred into the service for their procedures in a timely manner. There is a dedicated supervisor/trainer who provides tailored training for team members, ensuring that new starters receive a comprehensive induction and ongoing training which supports their professional development. The role itself is varied and involves working with a range of patients who have been referred for various procedures and are on differing pathways. The post-holder would be part of a team that focuses on delivering the best service to our patients whilst also ensuring they are booked within the appropriate timeframes.
Detailed job description and main responsibilities
Liaise with different specialty consultant teams for patients requiring dual procedures during one operation, which after initial training requires an understanding of medical procedures.
Arrange pre-operative assessment appointments for patient’s where necessary ensuring all relevant documentation is requested and available for the nurse. Update the Patient Administration System with information regarding the patient’s current medication and deliver instructions accordingly.
Issue patients with a confirmation letter related to their operation ensuring appropriate and accurate documentation and information regarding their treatment is enclosed.
Forward pre determined appropriate medication to patients for procedures prior to admission.
Ensure online booking diaries and other records are kept up to date and accurate.
Person specification Qualifications Essential criteria- IT Skills or equivalent/similar level alternative qualification.
- Business Qualification
- English and Mathematics GCSE grade A*-C
- Previous experience of working within a clerical role
- Good working knowledge of Hospital systems
- Previous experience in a health care setting
- Clear and accurate written and verbal communication. Able to listen effectively
- Computer literate
- Ability to understand and interpret detailed information
- Proven ability to understand and comply with detailed procedures
- Knowledge and understanding of NHS targets
- Demonstrate an ability to manage priorities under pressure
- Good Organisational Skills
- Able to work flexibly and willingness to adapt to the changing needs of the service
