Here at East Lancs, we provide a 7 day Endoscopy service and as such the post holder will work as part of a wider team on a rota basis. The post holder will be responsible for the management and accurate and timely administration of waiting lists in accordance with the Access, Booking and Choice Policy, liaising directly with clinicians, nurses, administrators, directorate staff and patients, whilst ensuring waiting list targets are achieved and confidentiality is met at all times.

Each clerk is responsible for the management of Endoscopy waiting lists and working as part of a team within the particular speciality

To be the first point of contact for all patients added to an inpatient, day case and selected out
- patient waiting list.

Arrange pre-operative assessment appointments for patient’s where necessary ensuring all relevant documentation is requested and available for the nurse. Update the Patient Administration System with information regarding the patient’s current medication and deliver instructions accordingly.

Issue patients with a confirmation letter related to their operation ensuring appropriate and accurate documentation and information regarding their treatment is enclosed.

Forward pre determined appropriate medication to patients for procedures prior to admission.

Ensure online booking diaries and other records are kept up to date and accurate

Record all outcomes of offers of admission ensuring any cancellations are replaced with appropriate alternatives in order to fully utilise endoscopy capacity

Communicate directly with the patient in a sympathetic and sensitive manner regarding any unforeseen hospital cancellations ensuring these patients are rebooked within strict time frames.

Each clerk is responsible for the management of Endoscopy waiting lists and working as part of a team within the particular speciality.

Add selected patients to the waiting list using the computerised Patient Administration System, ensuring all patients are listed with the accurate procedure and booked admission codes.

Complete and forward letters and health check questionnaires to patients who have been added to the waiting list. On receipt of the returned questionnaires update the Patient Administration System with all relevant data.

To be the first point of contact for all patients added to an inpatient, day case and selected out
- patient waiting list.

Negotiate a mutually convenient admission date with the patient whilst taking into consideration clinical priority, availability of anaesthetists and the constrictions of the Access Booking Targets and enter the information onto the Out Look Diaries and also the Patient Administration System.

A good understanding of time frames involved in all invasive procedures is necessary to ensure the case mix booked for theatre lists is appropriate, once training is complete.

Liaise with Endoscopy staff regarding the availability of specialist endoscopy equipment.

Liaise with different specialty consultant teams for patients requiring dual procedures during one operation, which after initial training requires an understanding of medical procedures.

Produce a weekly management report in order to monitor figures and highlight to the consultant any potential medical problems with patient’s or patient’s who have no set date for admission and could become a potential breaches in line with current government targets.

Record all outcomes of offers of admission ensuring any cancellations are replaced with appropriate alternatives in order to fully utilise endoscopy capacity.

1. Record and code all outcomes relating to endoscopy appointments for statistical and financial purposes.

Responsible for investigating and reporting unconfirmed admissions and any patients who do not attend, liaising with GP’s and National Strategic Tracing Service in order to verify patient’s details.

Close liaison with the referral management centre regarding patients eligibilty for Choi
