Job summary

An exciting opportunity has arisen within our pharmacy team for a Senior Pharmacy Administrator. The Senior Administrator supports the smooth running of the Pharmacy Department with a responsibility for co-ordinating and overseeing the administration functions of the department and providing supervisory support of administrator(s) within the department as appropriate.

They are required to provide a comprehensive secretarial and administrative support service to the Chief Pharmacist and Pharmacy Senior Management team in the pharmacy department. The post-holder needs to be able to have knowledge and experience of working with Microsoft office or equivalent and demonstrate attention to detail and accuracy to allow the completion of tasks involving internal as well as external stakeholders.

Main duties of the job

The successful candidate will be delivering an efficient and effective administration support function to the Pharmacy Department and the Chief Pharmacist.

The post-holder will review, develop, and control administrative systems to assist the Pharmacy Operations on a daily basis.

Operating and maintaining site office systems and databases ensuring that they comply with GDPR requirements is critical to the role.

Areas of work and associated key tasks include:

Corporate Responsibilities - apply high standards of confidentiality in accordance with Trust and Departmental policies and procedures.

Managerial and Organisational - deliver full secretarial and administrative support to the pharmacy service.

Performance, Finance and Information

Research & Development - undertake and complete staff surveys when appropriate.

Educational and Professional

Communications and Working Relationships - scope of communication is diverse and can be at all levels within the Trust and with many external organisations.

STAFF CAR PARKING

Staff Car Parking on the West Suffolk Hospital Site is eligible for individuals working outside of the core hours, 07:00 18:30.

For individuals working within the core hours, the Trust offers parking off site at the Bury St Edmunds Rugby Club, which is serviced by a regular shuttle bus to and from the Hospital. Details of the bus timetable can be found in the on-line starter pack on the West Suffolk Hospital website.

This parking restriction does not apply if an individual is required to work on a weekend or if they are required to complete on call duties within their role.

Education & Qualification

Essential

GCSEs grade C or above in Maths and English/New GCSE grade 4-9 in Maths and English or equivalent Vocational Level 3 or equivalent Excellent typing/word processing skills, minimum RSA Stage II or equivalent

Experience & Knowledge

Essential

Previous experience in secretarial or administration work or demonstrable transferrable skill set Knowledge of specialist functional and medical terms Knowledge of organisational policies and procedures Knowledge and experience to deal with non- routine issues such as problem or developing alternative or additional procedures Experience in exchanging information with patients, relatives and staff on a variety of departmental matters and procedures, anxious patients and relatives, cultural or language difficulties. Experience in communication of complicated administrative information to staff from other departments, external contacts. Experience in communication of complex, sensitive, contentious information with a range of stakeholders, where persuasion or negotiation is required. Experience of organising meetings and associated administration Knowledge of human resources requirements and regulations Ability to manage resources o Experience of working with senior staff within an organisation
