Our client is currently looking for a reliable Administrator to join their team. The Administrator will be responsible for providing comprehensive administrative support to the Transport Department.

The ideal candidate will ensure smooth day-to-day operations, maintain accurate records, and assist in coordinating transport activities. While transport experience is ideal, it is not essential. We are looking for someone with strong organisational skills, attention to detail, and the ability to work effectively in a fast-paced environment.

 

Day-to-Day Responsibilities

 

  • Provide general administrative support to the Transport Department.
  • Maintain accurate and up-to-date records of all transport activities, including schedules, deliveries, and vehicle maintenance.
  • Coordinate and communicate effectively with drivers, clients, and other stakeholders to ensure timely deliveries and resolve any issues that arise.
  • Assist in the preparation of reports, presentations, and correspondence related to transport activities.
  • Manage incoming and outgoing communications, including phone calls, emails, and mail.
  • Support the Transport Manager with the implementation of policies and procedures.
  • Assist with the scheduling and dispatching of transport vehicles.
  • Ensure compliance with health and safety regulations within the transport operations.
  • Handle customer inquiries and complaints professionally and promptly.
  • Monitor and order office supplies, Personal Protective Equipment (PPE), and other necessary materials to ensure smooth office operations.
  • Book in jobs and ensure that all transport activities are logged and tracked accurately.
  • Review drivers' paperwork to ensure all documentation is complete and compliant with company policies.
  • Liaise with suppliers to manage orders, deliveries, and resolve any supply issues.
  • Perform other duties as assigned by the Transport Manager.

 

Experience:

  • Able to multi task
  • 2 years’ experience within Administration
  • Excellent Communication Skills
  • Knowledge of the Transport Sector is desirable but not essential
  • Strong typing skills for data entry tasks
  • Ability to computerise administrative processes effectively
  • Excellent phone etiquette for professional communication
  • Skilled in office operations and procedures
  • Accurate data entry capabilities, care to detail
  • Strong organisational skills to manage tasks effectively
  • Ability to work with own initiative and as part of a team
