An exciting opportunity has arisen within the busyadministrative team that support the Exeter Core Adult Mental Health Teams. This is a busy and varied role where no two days are the same. Youwill get immense job satisfaction in helping colleagues and patientsefficiently and compassionately. You will be supported and trained to reachyour professional best, with opportunities for continuing development, trainingand career progression.

Thisis a part time role, working 30 hours per week.

There is a requirement to work on site as this is a patient facing role.

Main duties of the job

Answering busy incomingphone lines, you will be speaking to patients, professionals, carers andcolleagues, recording information on to client records and directing enquirieswhere needed. We'd like you to be confident and experienced in MS Office includingOutlook as you will process work from our shared inbox, creating and sendingappointment letters, taking referrals, minute taking and booking appointmentsand meeting rooms to keep our team and office running smoothly.

Knowledge and Skills

Essential

Intermediate IT skills in Microsoft Office Packages, Word, Excel, PowerPoint and Outlook and advanced keyboard skills Knowledge of a range of administrative procedures including diary management, arranging appointments and booking rooms Experience or understanding of creating electronic records and filing systems Ability to manage diverse workload whilst dealing with frequent interruptions Ability to meet deadlines and to work under pressure Exceptional organisational skills and ability to prioritise Ability to work both independently and as part of a team Ability to provide a high standard of secretarial support for meetings organising, booking venues and minute taking Knowledge of our business and how it supports patient care, and a positive attitude towards mental ill health and disability Excellent interpersonal and communication skills both written and verbal Able to deal confidentially and tactfully with people at all levels Ability to take and convey clear messages Experience in dealing with difficult situations ( adopting calm and confident manner when dealing with people in distress) Willingness to embrace new ways of working/changes Understanding and respect of confidentiality in the workplace Ability to exercise initiative operating within procedural guidelines. Ability to work without direct supervision on a day to day basis. Attention to detail/quality Adaptable in continuous change and able to learn quickly

Qualifications

Essential

RSA 3 Word Processing - or equivalent level of experience in practice. NVQ3 in administration - or equivalent level administrative knowledge and experience. GCSE English or equivalent. Evidence of continuing professional and personal development.

Desirable

ECDL (European Computer Driving Licence) - or similar. Audio typing or Shorthand/Speedwriting - qualifications or experience.
