An exciting opportunity has arisen for a Reception / Administrator atAlbany House Medical Centre.

Previous knowledge or experience of working in a medicine/GP Practiceenvironment is preferable but not essential as training will be given to theright candidate.

The successful candidate will be an essential part of a team that pridesitself on optimum patient experience within Albany House Medical Centre.

You will also be required to work a Saturday morning (8am-12pm) on aRota basis which is roughly 1 Saturday in 7.

Main duties of the job

To work in a team under the guidance of the Operations Manager to carry out the following:

Receiving patients, consulting with members of practice team Processing telephone requests for appointments, and completing Anima Health triage application diligently for a clinician to adequately review and navigate to the most appropriate healthcare service/professional. Monitoring Anima Health and ensuring all tasks and actions are completed adequately and in a timely manner Navigate personal telephoneinquiries to the relevant internal/external services Taking messages and passing on information to the appropriate team/professional Initiating contact with and responding to requests from patients, other team member and associated healthcare agencies and providers Ensure that system is operational at the beginning of each day Chaperoning Other Misc Admin duties.

Job Responsibilities

To ensure an effective and efficient reception is provided to patients and any other visitors to the practice. Deal with all general enquiries, explain procedures and make new and follow-up appointments. Using your own judgement and communication skills ensure that patients with no prior appointment but who need urgent consultation are seen in a logical and non-disruptive manner. Explain practice arrangements and formal requirements to new patients and those seeking temporary cover and ensure procedures are completed. Receive and make telephone calls as required. Divert calls, take messages ensuring accuracy of detail and prompt appropriate delivery. Enter requests for home visits on to the computer ensuring careful recording of all relevant details and where necessary refer to the Duty Doctor. Prepare lists and notes for all surgeries and clinics held ensuring completion of all the associated paperwork. Advise patients of relevant charges for private, non-general medical services. Accept payment and issue receipts for same where required. Enter patient information on to computer as required.

Reception

Welcoming patients Consulting with members of the practice team Be able to cover all reception positions as necessary Dealing with all patients or their relatives, friends or neighbors with their requests for appointment Make adequate notes to pass on accurate messages Coping with requests which are made for appointments, visits, collection of prescriptions, letters or messages left or to be left Process appointment requests for current and future appointments either by telephone or face to face

Administration

To have a thorough knowledge of all practice procedures To work in accordance with written protocols When required making sure medical records are updated Knowing the purpose of various forms and where they are kept, temporary resident, new patient forms, change of address forms

Using the Computer

Accessing the computer for the purposes of extracting registration details, path results, medication information and referral data. Finding details of immunisations and health promotion and medical reports if required. Inputting data as requested if required. Using SystmOne to book a patient appointment and learning the various tasks involved with computerised appointment. Person Specification
