About the team

Based in Gateshead this is a newly created role in our People Office team reporting to the Executive Assistant Manager. The team provide administrative support to our Senior Leadership team.

You’ll be part of the high performing, responsive and collaborative Global support team.

What you will be doing

As an Executive Assistant you will support between 3 Senior Leaders with meeting coordination and diary management of both UK and US based teams.

You will support with domestic and international travel arrangements, expenses, raising purchase orders and helping raise support tickets and some ad hoc tasks at the management team’s request. You will also support with some planning and execution of site events and organisation for large meetings with room bookings. This is a highly visible role working closely with stakeholders at all levels across the business and external clients, so you must have excellent communication and a high level of confidentiality is needed.

Key responsibilities:

  • Diary management and planning, working with internal and external stakeholders
  • Arranging meetings, video conferencing and webinars
  • Inbox management
  • Raising purchase orders and coding items or invoices
  • Working closely with other EA’s and Administrative support teams to coordinate complex travel arrangements and itineraries
  • Submitting expense reports following a strict T&E policy
  • Composing memos and correspondence from brief verbal instructions.
  • Preparing documents and presentations material using Word, Excel and PowerPoint

to a high quality and to Worldpay brand guidelines

  • Document production using Word, Excel and PowerPoint
  • Maintaining and reviewing both short and long term to-do lists of action items; keeping the leader updated on all action items arising from meetings; following up on the completion of these items
  • Helping with onboarding of new hires
  • Delegate approvals on various systems
  • Other related duties assigned as needed.
  • Helping with onboarding of new hires

What you bring:

  • A minimum of 5 years’ experience in a similar PA or EA role
  • Extensive knowledge of methods and techniques to perform general administrative duties and proficiency in common industry applications. Specific expertise in MS outlook, Word, Excel and PowerPoint required
  • Ability to work well as part of a team
  • Excellent communication skills both in verbal and written form.
  • Focused, proactive self-starter with good interpersonal skills
  • Ability to maintain confidentiality
  • Willingness and ability to learn new company processes and policies quickly and translate that I information to the leader
  • Passion for attention to detail and getting it right first time
  • Able to prioritise and deliver to deadlines

Added bonus if you have:

  • Experience using systems: Workday, Concur or Oracle
  • Experience working in a Global business
  • Experience working with multiple time zones
