JOB PURPOSE

Under the direction of the OD & Learning Partners, the Graduate Management Scheme (GMS) & Employment Placement Coordinator will play a key role in supporting the delivery of We Are EA People Plan focusing on specific initiatives under the Catalyst placement programme. The role will support attracting top tier talent, meeting organisational needs and supporting succession planning.

As Graduate Management Scheme (GMS) & Employment Placement Coordinator, you will oversee the entire journey of our placement trainees, from recruitment and selection, onboarding, development and learning during their duration spent in the scheme, with the aim of facilitating their transition into a career within EA.

In this role you will collaborate closely with the HR Resourcing and Services teams, heads of department, and external partners to ensure the successful execution of our graduate scheme and other placement schemes.

MAIN DUTIES AND RESPONSIBILITIES

To co-ordinate, develop and deliver the new Graduate Management Scheme and other forthcoming ‘Catalyst’ initiatives:

- To support managers with the recruitment and onboarding of placement trainees for the new GMS and other forthcoming ‘Catalyst’ initiatives.
- To enable trainee development and learning in line with the ‘We Are EA’ People Plan for the new GMS and other forthcoming ‘Catalyst’ initiatives to facilitate their transition into careers within EA.

To be a key point of contact and to provide high quality guidance, advice and support for managers relating to the Graduate Management Scheme and other placement initiatives. To develop and implement a new Graduate Management Scheme recruitment and selection process in partnership with HR Resourcing team, as well as other placement initiatives.  To liaise with directorates to identify trainee placement opportunities including the identification of competencies required for the placement roles To coordinate and project manage the recruitment, selection and onboarding of Graduate Management Scheme trainees on annual basis. To develop and coordinate the programme and placement(s) for each Graduate Management Scheme trainee including induction. To support and supervise Graduate Management Scheme trainees during the programme, offering guidance and assistance in navigating organisation processes and procedures while promoting a positive work culture in line with EA Values. To undertake some of the essential line management duties for trainees in relation to the Graduate Management Scheme trainee’s employment contract, for example, annual leave approval and management of sick leave.  To develop and review operational processes and procedures for the smooth operation of the GMS scheme and, where relevant, other Catalyst placement initiatives.  To co-ordinate, develop and/or deliver training and initiatives to all trainees which will support them in their placement and career development. To evaluate and review initiatives to demonstrate continuous improvement thus ensuring they are adding value to the organisation. This will involve analysing and interpreting a range of information To create and provide activity reports on Graduate Management Scheme and other Catalyst placement initiatives and to provide regular updates to OD&L team and directorates where relevant To liaise with schools, colleges and universities to promote GMS Scheme and other relevant schemes, where relevant To organise and manage recruitment events, promotional materials and outreach activities. To work collaboratively with OD&L & other HRCS colleagues to review the placement initiatives to enable the continuous improvement of a high-quality service. To assist the OD&L team in actively establishing and developing collaborative working relationships across directorates through a passion for people development. To provide business support to the OD&L Partners including project management and administrative support as required. Where relevant, to support the OD&L Partners in the development, coordination and implementation of a range of organisational development programmes, initiatives and projects to meet current and future needs and requirements of the organisation. To contribute to the development of strategies, business plans, policies and procedures to support the achievement of corporate aims and objectives To support in the planning and delivery organisational leadership and engagement events and conferences as required To undertake research projects on relevant topics as determined by the Head of OD&L to explore new approaches and ensure best practice. To collaborate with external stakeholders, as required by the OD&L team, to ensure the delivery of high-quality initiatives. To act as an ambassador for the organisation and to promote and raise awareness of EA Mission Vision and Values including the development and ongoing implementation of Values in Action programmes and initiatives. To represent the OD&L team at meetings as required to explore key requirements/themes/issues emerging that require OD&L support and to provide initial high-quality guidance and advice. To participate in and support consultations and/or negotiations and staff engagement exercises as required by Head of OD&L. To undertake training and personal development as required to support you in your role. To keep up to date with current trends and developments in the field work placements and graduate schemes. To maintain an up-to-date working knowledge of developments which impact directorates and the workforce. To collaborate and network with other colleagues, stakeholders and across professional boundaries (internal/external) to promote partnership working, share learning and best practice, and progress agreed strategies, policies, projects and programmes. Coordinate course bookings, including venues as required. Create and maintain accurate records of graduate scheme and work placement activities as required using available computer applications such as Microsoft applications or a learning management system.

Other Duties

Display the EA Values in the workplace. Maintain all appropriate documentation. Participate in other activities as nominated by the Head of OD&L. Undertake such other relevant duties as may be reasonably expected of the post holder.
